You can configure registration to allow guests during registration but not allow the adding of additional registrants to the order. For example, you have an event that allows families or groups of up to 4 people to register together for a single price that is charged against the first registrant. Each additional person is treated as a guest with no charge for registering. Each member of the family or group can attend the activities and pay any additional fees for the activities.
To configure guest registration without allowing multiple registrants:
- Click the Events button from the Global Navigation Bar. The Events page opens.
- Select the event to configure.
- Right-click and select Tools -> Registration Setup. The Registration Setup window opens.
- Select the Pricing tab.
- Click the Add button in the Registrant Types section to add a standard (non-guest) registrant type. The Add Event Registrant Type window opens.
- Enter the necessary information for the registrant type. See the Add a Registrant Type to a Registration for more information about the available fields.
- Click OK.
- In the Registrant Types section, click the arrow next to the Add button and select Add Guest Registrant Type. The Add Event Registrant Type window opens.
- Enter the necessary information for the guest registrant type. See the Add a Registrant Type to a Registration for more information about the available fields.
- Click OK.
- Select the Registration Form Setup tab.
- Expand the Guests Registrants section. If this section isn't available, you need to add it to your screen layout. You also need to add the following fields to the section:
- Allow selecting guest from a list
- Allow searching for guest
- Allow adding new account for guest
- Search across
- Guest Search Fields
- Guest Results Fields
- Configure the available guest registration options:
- Allow selecting guest from a list - If checked, the signed-in user can view and select an existing guest registrant from a list of contacts on his/her account.
- Allow searching for guest - If checked, the signed-in user can view, search and select an existing guest registrant. When this option is checked, the Search across drop-down becomes available. Select to search across:
- All active registration accounts - The user can search and select from the entire database of registration accounts and contacts. This is not recommended and should only be used after discussion with your Consultant or Value Success Manager.
- A specific project - The user can search and select from contacts included in a specific campaign (also called a project). When this option is selected, an additional field displays to select the campaign.
- All Related Contacts - The user can search and select from all related contacts.
- Guest Search Fields - Select one or more fields to display for use as search fields.
- Guest Results Fields - Select the fields that display for each contact matching the search criteria. Select fields that make it easier for the user to distinguish between similar contacts.
- Allow adding new account for guest - If checked, the signed-in user can create a new account for the guest registrant.
- Expand the Appearance section.
- Click the Edit Form Template hyperlink. The Form Template window opens.
- Select Account Information in the Account Group on the left side of the screen.
- Click on the Edit Component hyperlink in the Account Information section in the middle of the screen. The Edit Account Details Form Section window opens.
- Expand the Guest Registrants section.
- Check the Allow Guest Registration box.
- Enter the necessary information:
- Guest Section Heading - Name of the section that displays during registration, if desired.
- Guest Section Text - Instructional text for the section that displays during registration, if desired.
- Require Guest Registration - If checked, a guest registration is required before the user can submit the order. If this field is not available, you may need to add it to your screen layout.
- Select Guest Account Fields - Click the Select hyperlink to select the information to gather for the guest.
- Guest Account Documents - Click the Manage hyperlink to configure document requirements if a document upload is required for the guest.
- Click OK.
- Click OK on the Form Template screen.
- Click OK on the Registration Setup screen.
