When custom field/user defined field (UDFs) sets are no longer needed, they can be retired. Retiring a custom field/user defined field set does not impact the existing data. Retiring a custom field/user defined field set prevents it from displaying for selection in drop-downs.
To retire a custom field/user defined field set, follow the below steps:
- From the Main Menu, search for and select the appropriate link. You can determine the link from the type of custom field/user defined field set being used.
- Event Sales Accounts, Contacts and Fulfillment Orders: Opportunity Types in the Event CRM section of the Main Menu.
- Membership Services Accounts, Contacts and Fulfillment Orders: Opportunity Types in the Membership Services section of the Main Menu.
- Public Relations Accounts, Contacts and Fulfillment Orders: Opportunity Types in the Public Relations section of the Main Menu.
- Visitor Inquiry Accounts, Contacts and Fulfillment Orders: Opportunity Types in the Visitor Inquiry section of the Main Menu.
- Events: Opportunity Types in the Event Management and Coordination section of the Main Menu.
- Personnel Management Accounts and Contacts: Opportunity Types in the Visitor Inquiry section of the Main Menu.
- Registration: Registration Custom Field Sets in the Event Registration and Housing section of the Main Menu.
- Service Orders: Opportunity Types in the Event Management and Coordination section of the Main Menu.
- Service Order Items: Opportunity Types in the Event Management and Coordination section of the Main Menu.
- Functions: Opportunity Types in the Event Management and Coordination section of the Main Menu.
- Resources: Resource/Inventory/Purchasing Issue Types in the System Administration section of the Main Menu.
- Purchase Orders and Requisitions: Resource/Inventory/Purchasing Issue Types in the System Administration section of the Main Menu.
- Inventory Items: Resource/Inventory/Purchasing Issue Types in the System Administration section of the Main Menu
- Select the custom field/user defined field set to retire.
- Right-click and select Edit.
- Select Retired from the Status drop-down.
- Click OK.

Is it possible to retire a line within a UDF set? There is a line I know longer require but there will have been data collected prior so I do not want to delete it.
If I create a new set and assign that to the resource, it would then no longer be possible to see data collected for previous orders.
If not possible to retire a line, is it possible to exclude the line at ESCV level?

If you delete a row (linked to a field such as TXT_NN) from the Opportunity Type, then any data collected in that field in the past will remain in the database.
I would just note the field and description in your records, so if you need to add it back, or include it in reports, etc, then you can easily find the historical data again.

I would prefer to retire rather than delete, however, as fields available are restricted for each type -TXT, AMT etc., it makes sense why retirement of the field is not an option.
