For customers using Accounts Receivable and Journal Entries or full financials, the Daily Revenue and Cost Analysis will display a projected representation of revenue and expense GL transactions based on order items and the GL Distribution scheme associated with the resources. The data will be based on actuals where they exist, otherwise will be based on ordered items. This data can be used for revenue forecasting and for projections to combine the aforementioned ordered and actual figures.
Data will be generated by running the GL Distribution rules over service orders items to calculate not only where revenue (and/or costs) will be coded in the GL but also to break up multi day charges (such as venue hire) into daily figures.
Once configured, this data can be generated manually or scheduled to generate at regular intervals. The data can be interrogated onscreen or used in Reports and Dashboard Gadgets.
Configuration
A "control" job and an organization based job must be configured to set the criteria defining the transaction dates and event status range to include.
- From the Main Menu, search for Daily Revenue Job Configuration / Control
- Two lines should already exist; a "control" for Org ** and a second line for the Org you are currently in. If not using multiple Organizations, this will be Org 10.
- Edit the Org line to set:
- Start Date - being the transaction date to begin from
- Days Out - being how many days to include after the Start Date
- Event Status From and To - the range of Statuses to include
- Ensure both lines are checked to Run
Generate Data
The data can be generated manually or set to regenerate based on a time interval. Note: data will be generated where it differs from previously generated data or has not yet been generated.
- From the Main Menu, search for Daily Revenue Job Configuration / Control
- Ensure both lines are checked to Run
- At the top of the grid, click Run
To schedule generation (note, this may require licence and setup. If required, please check with :
- Right click the Org line and choose Schedule Daily Revenue
- Choose the interval and start date and time
- Click OK to save and close
Review Data
The data can be interrogated via a view. It is useful to note that data will not duplicate, regardless of how many times it has been generated. Customize the onscreen view by using Show Columns and Sort, Group and Total to display the data in as useful information.
- From the Main Menu, search for Daily Revenue and Job Analysis
- Enter filter criteria to refine the data displayed
- Click Search to display data
- Customize the display
A common format for this view is to group by Date and GL Account (or vice versa) and subtotal the Revenue Amount.
Reports and Dashboard Gadgets
The data can be used in Reports and Dashboard Gadgets to create a graphical representation. This will only be effective after data has been generated. The most common format for a Report is to create a Chart/Pivot Report. This can then be added to a Dashboard as a gadget.
When creating the Chart/Pivot Report, select the Subject = Daily Revenue and Cost Analysis. Choose the Columns to display by (normally GL Account or Date) and include the Revenue Amount field. Apply appropriate filters (often relative date based).
