You use access privileges to control what information roles and users can add, edit, delete or view. Access privileges are used with access management. Proceed cautiously before making changes to any access privileges as any changes may have an impact on other users in your system.
You can change access privileges for registration from either the Access Privileges screen on the Main Menu or from the Registration Configuration screen in the Access Privileges section.
See below for a list of available access privileges for registration.
Allow Adding of Room Pickup on Blocks
This access privilege controls who can add room pickup. Any roles/users assigned to the privilege can add room pickup while any roles/users not assigned to the privilege cannot add room pickup. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can add room pickup.
Allow Delete of Registration Orders
This access privilege controls who can delete registration orders. Any roles/users assigned to the privilege can delete registration orders while any roles/users not assigned to the privilege cannot delete registration orders. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can delete registration orders.
Allow Display of Printed Orders on Reg Orders Window
This access privilege controls who can display printed orders on the Registration Orders screen and who can modify the Print setting when printing orders from the Registration Confirmation report prompt. Any roles/users assigned the privilege can display a printed order and can change the Print check box setting. Any roles/users not assigned to the privilege cannot display printed orders and cannot change the Print check box when printing orders. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can display printed orders and change the Print check box when printing orders.
Allow Edit Multiple Registration Orders and Items
This access privilege controls who can use the Edit Multiple Orders and Edit Multiple Items screens. Any roles/users assigned to the privilege can access the Edit Multiple Orders and Edit Multiple Items screens while those roles/users not assigned to the privilege cannot access the screens. If no roles/users are assigned to the privilege, it is considered inactive, and no roles/users have access to the Edit Multiple Orders and Edit Multiple Items screens.
Allow Edit/Add of Registration Orders
This access privilege controls who can edit or add registration orders. Any roles/users assigned to the privilege can edit and add registration orders while any roles/users not assigned to the privilege cannot edit or add registration orders. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can edit or add registration orders.
Allow Editing of Property Attributes
This access privilege controls who can edit and view the attributes for a property account. Any roles/users assigned to the privilege can access the Property Attributes screen for property accounts while those roles/users not assigned to the privilege cannot access the Property Attributes screen. If a role/user is assigned to the privilege but is set to View Only (enter Y into the Value field), the role/user can open the Property Attributes screen but not make any changes. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can access the Property Attributes screen.
Allow Reprint of Tickets
This access privilege controls who can reprint ticket items on registration orders. If a user selects an order for ticket printing and the user (or role the user is assigned to) is assigned to the privilege, the user is prompted to either reprint the existing tickets or print only the new tickets if at least one ticketed item was already printed. If no roles/users are assigned to the privilege, it is considered inactive, and there is no ticket reprinting.
You can print tickets on orders one order at a time. You cannot mass reprint tickets.
Edit/Delete Registration Order by Status
This access privilege controls who can edit and delete registration orders by checking the assigned order status level for each role/user and comparing it to the status of the order. You can assign each role/user a status level and the role/user can edit or delete registration orders with status levels at or below the assigned status level. For example, an role/user with a security level of 30 can edit and delete registration orders with a status of 30 or lower. A blank value or no value is the same as not assigning the role/user to the privilege. If a role/user is not assigned to the privilege and others are, then the role/user cannot edit or delete any registration orders regardless of the status level of the order. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can edit or delete any registration order.
Regardless of the status level assigned to a role/user, roles/users can edit the user defined fields (UDFs) and products/services for all registration orders.
Allow Event Modification By Coordinator
This access privilege controls who can access registration orders based on the coordinator assigned to the event for the registration order. Roles/Users are assigned security privileges in two parts - Assign Access Privileges and Assign Details. When a role/user is assigned to the privilege, Assign Details defaults to all coordinators. To limit access to selected coordinators, right-click on the assigned role/user and select Assign Details to access the Assign Details screen.
If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users have access to all coordinators' event information. If a role/user is assigned (activating the privilege), all unassigned roles/users cannot change or view any coordinators' event information, even events where the user is the primary coordinator. Roles/users with view only access can view coordinators' event information but cannot change it.
This access privilege checks the Primary Coordinator and Coordinator 2-4 fields for access.
Allow Event Modification by Event Account Rep/Salesperson
This access privilege controls who can access registration orders based on the salesperson assigned to the event for the registration order. Roles/users are assigned security privileges in two parts - Assign Access Privileges and Assign Details. When a role/user is assigned to the privilege, Assign Details defaults to all salespeople. To limit access to selected salespeople, right-click on the assigned role/user and select Assign Details to access the Assign Details screen.
If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users have access to all salespeople's event information. If a role/user is assigned (activating the privilege), all unassigned roles/users cannot change or view any salespeople's event information, even events where the user is the salesperson. Roles/users with view only access can view the salesperson's event information but cannot change it.
