You use access privileges to control the information roles/users can add, edit, delete or view. You use access privileges in conjunction with access management. Proceed cautiously before making changes to any access privileges as any changes may have an impact on other users in your system.
You can change payment access privileges from either the Access Privileges screen on the Main Menu or from the Accounts Receivable Configuration screen on the Access Privileges tab.
Below is a list of available payment access privileges.
Access to AR Transaction Types
This access privilege controls who has access to receivable transaction types for payments, deposits and adjustments. Roles/users can only access the payments, deposit and adjustment types assigned to them. Roles/users are assigned security privileges in 2 parts - Assign Access Privileges and Assign Details. When a role/user is assigned to the privilege, Assign Details defaults to all transaction types. To limit access to selected transaction types, right-click on the assigned role/user and select Assign Details to access the Assign Details screen.
If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users have access to all transaction types. If a role/user is assigned to the privilege (activating the privilege), all unassigned roles/users cannot select any payment, deposit or adjustment types they are not assigned.
Add/Change Payments - Post Cash Receipt Batch
This access privilege controls who can add payments, change payment information through order processing or through accounts receivable, and post cash receipt entry batches. Any roles/user assigned to the privilege can add and change payments and post cash receipt batches while any role/user not assigned to the privilege cannot add and change payments or post cash receipt batches. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can add and change payments and post cash receipt batches.
Allow Payment Inquiry
This access privilege controls who can view payments on the Cash Receipt Inquiry & Reconciliation screen. Any role/user assigned to the privilege can view payments from the Cash Receipt & Reconciliation screen based on the Value setting for the privilege. The Value determines which transactions a role/user can view. An A in the Value indicates all transactions while a U indicates user only.
Allow Transaction Date Change on Payment
This access privilege controls who can change the transaction date for existing payments. Any roles/users assigned to the privilege can change the transaction date while roles/users not assigned to the privilege cannot change the date. If no roles/users are assigned to the privilege, it is considered inactive, and all users can change transaction dates on existing payments.
