Membership periods are the length of time for a membership and include any subscription items included in the membership, the installment options and the type of membership.
Add a Membership Period
- Click the Membership Periods link from the Main Menu. The Membership Periods screen opens.
- Click the Add button. The Add Membership Period screen opens.
- Enter the necessary information:
- Period Description - Name of the membership period. For example, Annual Gold Membership.
- Type - Membership type for the membership period.
- Period Based On - Date settings for the membership period:
- Specific Dates - Membership period is set to specific dates. This is used when your membership begins and ends on specific dates. When selected, the following fields become available:
- Start Date
- End Date
- Enrollment Open Date
- Enrollment Close Date
- Relative to Date Joined - Membership period is set to dates dependent upon when the membership is created. This is used for rolling memberships. When selected, the following fields become available:
- Renewal Months - Number of months before the membership period ends.
- Days Before Expiration Renewal Closes
- Days Before Expiration Renewal Opens
- Specific Dates - Membership period is set to specific dates. This is used when your membership begins and ends on specific dates. When selected, the following fields become available:
- Price List - Price list for the membership items.
- Order Form - Order form on the price list with the membership subscription items.
- Installment Option(s) - Installment option(s) available for the membership period. If one installment option is selected, that installment option is used when adding a membership, If you select multiple installment options, you can select the desired installment option for the member when adding a membership.
- If joining after start date, apply - How to charge for memberships if they are added after the period starts and if the membership period is set to Specific Dates in the Period Based On drop-down:
- Prorate Charges - Charges are prorated based on the month joined. For example, if membership period is a year and begins on January 1 and the membership is added in March, the charges are adjusted to reflect a 10 month membership instead of 12 months.
- Charge evenly across remaining installments - Charges for previous months in the period are spread evenly across the remaining installments in the period.
- Charge full amount to first installment - Charges for the previous months in the period are charged with the first month. The remaining months are charged the normal rate for the installment.
- Early Pricing End Date - Memberships entered on or before the entered date (at midnight) automatically use the Advance price as configured on the price list.
- Standard Pricing End Date - Memberships entered after midnight on the date of the Early Pricing End Date but on or before the entered date in the Standard Pricing End Date at midnight automatically use the Standard price as configured on the price list.
- Active - If checked, the membership period is available selection for memberships.
- Select the Subscription Items tab. These are the items added to the membership order that is created when adding a membership.
- Click the Add button. A drop-down opens.
- Select Add. The Add Membership Subscription Item Screen opens.
- Enter the necessary information:

- Quantity- Amount added to the membership order.
- Resource - Item to add to the membership order.
- Required - If checked, you must add the item to the membership order when creating a membership.

- Click OK.
Change a Membership Period
You can change the information for a membership period after you have created it. When you change the information for a membership period, it does not update existing membership orders; it only changes for membership orders created after the change is saved.
- Click the Membership Periods link from the Main Menu. The Membership Periods screen opens.
- Select the period to edit.
- Right-click and select Edit. The Edit Membership Period screen opens.
- Update the information as needed.
- Click OK.
Inactivate a Membership Period
If you no longer use a membership period but want to keep record of it for reporting or other purposes, you can make it inactive. When you make a membership period inactive, it is no longer available for selection when creating memberships.
- Click the Membership Periods link from the Main Menu. The Membership Periods screen opens.
- Select the period to make inactive.
- Right-click and select Edit. The Edit Membership Period screen opens.
- Uncheck the Active check box.
- Click OK.
Delete a Membership Period
If you no longer use a membership period and don't want to keep a record of it, you can delete it. You cannot delete membership periods assigned to memberships. You cannot undo the delete process.
- Click the Membership Periods link from the Main Menu. The Membership Periods screen opens.
- Right-click on the period to delete.
- Select Mark for Delete.
- Click the Save button.
