You can configure the default description for a report when it is attached to an email or exported by using Report Naming Schemes.
Report Naming Schemes are created by subject area (service orders, registration orders, invoices, and so on). Based on the area you select, you can define wildcards to use for the naming scheme, such as Invoice Date or Order Number. There are also generic wildcards like Today's Date and Report Name as well as the option for static text. After you create a naming scheme, you can assign it to a report on the:
- Report List section on the Report Master
- Report Master
- Report List screen from the Main Menu
Since you can assign a Report Naming Scheme in multiple places, the software uses the following order to determine which naming scheme to use when attaching to emails or exporting:
- Rename Report field on the report prompt
- This field is automatically filled with the report name. Be sure to clear this field when running a report if you want the Report Naming Scheme to be used.
- Report Naming Scheme on the Report List section of the Report Master
- Report Naming Scheme on the Report Master
- Report Naming Scheme on the Report List from the Main Menu
- Default report name
Create Report Naming Schemes
- Click the Report Naming Schemes link from the Main Menu. The Report Naming Scheme screen opens.
- Click the Add button. The Add Report Naming Scheme screen opens.
- Enter the necessary information:
- Description - Name for the naming scheme.
- Subject - Area of the software for the naming scheme.
- Date Format - Date format to use in the naming scheme.
- Report Name Format - Create the Report Naming Scheme. Use Shift+F2 to insert subject wildcards. Use Shift+F4 to insert generic wildcards. You can also enter any desired static text.
- Click OK.
Assign the Report Naming Scheme
Report List Tab
When you assign a naming scheme to a report for a specific report list, that naming scheme is used for that report when it is accessed from only that report list. Only Report Naming Schemes assigned to the appropriate subject for a report list are available for selection. For example, you cannot assign naming schemes with an Event subject to Account report lists.
- Click the Report Master link from the Main Menu. The Report Master screen opens.
- Select the report for the naming scheme.
- Right-click and select Edit. The Edit Report Master screen opens.
- Expand the Report Lists section.
- Select the report list for the naming scheme.
- Right-click and select Edit. The Edit Report List screen opens.
- Select the naming scheme from the Report Naming Scheme drop-down. You may need to add this field to your screen layout.
- Click OK.
Report Master
When you assign a naming scheme to a report from the Report Master, that naming scheme is used wherever the report is accessed, regardless of the report list. Only schemes with No Subject selected in the Subject drop-down are available for selection since it is unknown from where the report is accessed and which wildcards are supported.
- Click the Report Master link from the Main Menu. The Report Master screen opens.
- Select the report for the naming scheme.
- Right-click and select Edit. The Edit Report Master screen opens.
- Select the naming scheme from the Report Naming Scheme drop-down. You may need to add this field to your screen layout.
- Click OK.
Report List from Main Menu
When you assign a naming scheme to a report list, that naming scheme is used for all reports in the report list. Only Report Naming Schemes assigned to the appropriate subject for a report list are available for selection. For example, you cannot assign naming schemes with an Event subject to an account report list.
- Click the Report List link from the Main Menu. The Report List Master screen opens.
- Select the report list for the naming scheme.
- Right-click and select Edit. The Report List Master screen opens.
- Expand the Report Lists section.
- Select the naming scheme from the Report Naming Scheme drop-down. You may need to add this field to your screen layout.
- Click OK.

Hi Kris Corrigan,
Indeed, there are only 2 generic wildcards available for the report naming scheme with 'No suject'.
I set up a naming scheme for our invoices:
I assigned it via the Report Lists and it works very well.
Another lead, when you run the report, do you have the 'Rename report' field in the Generic Report Prompt?
Relating to the report naming scheme, they are hierarchy and this field trumps them all. When this field is filled in, all naming schemes are then ignored. You must clear it.

I have been testing this with my crystal report for contracts - report ID CCA120
No matter which subject I choose for the naming scheme i.e. contracts, events, I get the same message as below when I try to add the scheme. What would I be doing wrong?

We need some more information to figure out what could be happening. A bigger screenshot of the screen would be helpful if there is nothing proprietary as well as letting us know where you are trying to assign the naming scheme: on the Report List tab on the Report Master, on the report directly from the Report Mater or from the Report List screen from the Main Menu. Also, if you could let us know what the naming scheme looks like, such as any wildcards you are using, that would help as well.

I have found I can only apply the report naming scheme from the Report Lists via the Main Menu. Assigning it from the Report Master doesn't work for me.
Are there any plans in the pipeline to enable report naming schemes for the subject of 'Functions'?

Hi Beth Harris!
In order for a naming scheme to be available on the Report Master, No Subject must be selected in the Subject field. This will allow you to add the naming scheme to the functions report list, but it will also apply to all reports. We would recommend you speak to your CSM or a consultant before making this change!

Has anyone had this working?
I have managed to add the report naming schema to the report via the report master and also added this to the report lists but this still doesnt work.
I had to create a schema with No Subject which allowed me to enter this on the report master, I copied and pasted a wildcard from Invoices hoping this would work but it hasn't

Hi Kris Corrigan,
You must first create a new report naming scheme by selecting in the Subject list, the filed "No subject". Then from Report Master, you will find this naming scheme and can assign it.

I have done this, however I want to use wildcards in order when this exports it renames as expected and this is what isn't working.
