You can track and report cancelled and lost business trends related to events using Event Cancellation Reasons. When you cancel an event, you can select a reason to track why the event is cancelled or lost. You can set up event cancellation reasons specific to cancelled events, lost events or both.
Add an Event Cancellation Reason
- Click the Event Cancellation Reasons link from the Main Menu. The Cancellation Reasons screen opens.
- Click the Add button. The Add Cancellation Reason screen opens.
- Enter the following information:
- Description - Description that displays to the user when selecting the cancellation reason.
- Code - Unique alphanumeric value.
- Class - Select if the cancellation reason is available for events at a cancelled status (Cancel), lost status (Lost) or both (Both). If it applies only to cancelled events, the reason is only available when selecting a cancel status on the Cancel Event screen. If it applies only to lost events, the reason is only available when selecting a lost status on the Cancel Event screen.
- Sequence - Determines the order the reason displays in the drop-down on the Cancel Event screen.
- Click OK.
Change an Event Cancellation Reason
You can change the description, sequence, and/or class for the event cancellation reason after you have created it. When you change the description of an event cancellation reason, it updates wherever the event cancellation reason is used. If you don't want to update the already existing event cancellation reason data, then you must add a new event cancellation reason using the steps in Add an Event Cancellation Reason.
- Click the Event Cancellation Reasons link from the Main Menu. The Cancellation Reasons screen opens.
- Select the cancellation reason to edit.
- Right-click and select Edit. The Edit Cancellation Reason screen opens.
- Make the desired change.
- Click OK.
Inactivate an Event Cancellation Reason
If you no longer use an event cancellation reason but want to keep record of it for reporting or other purposes, you can make it inactive. When you make an event cancellation reason inactive, it is no longer available for selection when cancelling an event.
- Click the Event Cancellation Reasons link from the Main Menu. The Cancellation Reasons screen opens.
- Select the cancellation reason to make inactive.
- Right-click and select Edit. The Edit Cancellation Reason screen opens.
- Check the Retire check box.
- Click OK.
Delete an Event Cancellation Reason
If you no longer use an event cancellation reason and don't want to keep a record of it, you can delete it. You can only delete event cancellation reasons that are not used on events. You cannot undo the delete process.
- Click the Event Cancellation Reasons link from the Main Menu. The Cancellation Reasons screen opens.
- Right-click on the cancellation reason to delete.
- Select Mark for Delete.
- Click the Save button.

How do I EDIT an existing Cancellation Reason? I don't see any option to edit an existing one--is it only possible via deletion and recreating from scratch? That seems counterintuitive.

Hi Jeff,
The cancellation reason grid is editable so you can make changes to it. If you go to the configuration screen using the directions above, you can click directly into a field, make changes and then save. The only thing you cannot edit is the Code for the cancellation reason.

Hi Chris,
There is a Sequence column on the Event Cancellation Reasons window so you can specify the order you want the reasons to display on the Cancel Event window. You may need to show the column and save the setting to be able to see and edit the field.

We have such trouble accessing anything in v19 - it's so frustrating that rather than create a new and CORRECT reason we're choosing a cancellation reason that is NOT correct.

I can't find "Event Cancellation Reason" in my main menu, but when I checked the Main Menu Restriction I can see the option and it is available for my user group (EBMS Administrator). So I wonder why it does not show in my main menu window.
Our USI is 20.94H
Any advise? Since I need to put Covid-19 as one of the reason.

Hi Virna,
Are you assigned to the Trainee role? If so, since it is restricted on that role, it won't show for you even if you are assigned to other roles that give you access (a deny trumps everything regardless of access granted on other roles).

Hi Virna,
Looking at your action restrictions screen shot, I would guess that Trainee is also a role assigned to your user and that is blocking you from seeing the Event Cancellation Reasons Main Menu option. If that is not the case, then there could be another Deny that is stopping you from viewing it.
Another way to see your access is to use the Role Access screen from the Main Menu. Filter this screen by your user and type "Event Cancellation Reason" into the Element filter. This will show you all the roles you are assigned to and the access you have for Event Cancellation Reasons for those roles. If you see a Deny, then you need to remove that role from your user. If you see that all the options are "Not Assigned" then that means you need to assign the Event Management - Administration feature to one of your roles.
