You use access restrictions when you need to hide an action for a particular screen. Action restrictions are different from action exceptions because action restrictions apply to only particular screens where access exceptions apply to all of the software.
For example, the Add Note action is available from a lot of screens. If you use access exceptions to deny the Add Note action, it is denied everywhere. If you use action restrictions to deny the Add Note action for the Events screen, you can restrict access to that action from only the Events screen while keeping the Add Note action available on all other screens.
You can use action restrictions to create "view only" screens where users can see the information but not add, edit or delete information on the screen.
Action restrictions are set up on the role level. If a user is assigned to more than one role and one role has an action restriction to hide an action and another role has an access exception to grant the action, the software uses the least restrictive access and gives the user access to the action.
To add and manage action restrictions from a screen:
- Navigate to the screen you want the action restriction. For example, the Events screen or Accounts screen.
- Click the Tools button located below the search options.
- Select Action Restrictions. The Action Restrictions page opens.
- Click the Add button. The Add Action Restriction window opens.
- Select the action(s) to restrict from the Action drop-down.
- Select the role(s) for the action restriction from the Role drop-down.
- Click OK.
To add and manage action restrictions from the Roles screen:
- Click the Roles button from the Main Menu. The Roles page opens.
- Select the role for the action restriction.
- Right-click and select Edit. The Edit Role window opens.
- Select the Action Restrictions tab.
- Click the Add button. The Add Action Restriction window opens.
- Select the area of the software for the action restriction from the Subject drop-down.
- Select the action(s) to restrict from the Action drop-down.
- Click OK.
