You can use AR security control to define which roles/users can access particular accounts and contacts. AR security control is designed to accommodate external organizations signing in. Do not use AR security control unless you want to restrict users to specific accounts and contacts.
When configuring AR security control, if no roles/users are assigned to the AR Security Control Account Access access privilege, it is considered inactive and all users have access to all accounts and contacts regardless of value in the A/R Control field. If a role/user is assigned (activating the access privilege), all unassigned users are unable to access any accounts or contacts they are not assigned. Therefore, it is very important to plan your security restrictions and permissions before assigning security.
When configuring A/R security control, you need to:
- Create the AR Security Control Codes
- Assign the AR Security Control Codes to Accounts and Contacts
- Configure the Access Privilege
Create the AR Security Control Codes
First you need to define the AR security codes you are assigning to the accounts and contacts. To configure the AR security codes:
- Click the Book Control Codes link from the Main Menu. The Book Control Codes screen opens.
- Click the Add button. The Add Book Control Code screen opens.
- Enter a unique alphanumeric code into the Code field.
- Enter the name of the AR security code into the Description field.
- Check the Status check box to indicate the AR security code is active.
- Click OK.
Assign the AR Security Control Codes to Accounts and Contacts
Now you can assign the AR security control codes to the appropriate accounts and contacts.
- Click the Accounts or Contacts link from the Main Menu. The Accounts or Contacts screen opens.
- Select the accounts or contacts to assign to an AR security control code. Use Shift+Click or Ctrl+Click to select multiple accounts or contacts.
- Right-click and select Edit Multiple Accounts or Edit Multiple Contacts. The Edit Multiple screen opens.
- Check the A/R Control check box.
- Select the security control code to assign to the selected accounts or contacts from the drop-down.
- Click OK.
If you are not using the AR security control codes for security purposes, you do not need to proceed with the remaining steps.
Configure the Access Privilege
To configure the AR security control code access privilege:
- Click the Access Privileges link from the Main Menu. The Access Privileges screen opens.
- Locate the AR Security Control Account Access access privilege.
- Select the access privilege.
- Right-click and select Edit. The Edit Access Privilege screen opens.
- Select the Access Privilege Details tab.
- Click the Manage button. The Assign Access Privileges screen opens.
- Select the role(s) and/or user(s) to assign to the access privilege in the Available section of the screen. Use Ctrl+Click or Shift+Click to select multiple roles and/or users.
- Click the single right arrow button to move the selected role(s) and/or user(s) to the Selected section of the screen.
- Click OK. You return to the Edit Access Privilege screen.
- Select the Access Privilege Details tab.
- Select the role/user to assign to a particular security control code.
- Right-click and select Assign Details. The Assign Details screen opens.
- Select the security control code(s) which the role/user can access from the Available section. If the role/user needs access to all codes, select the Access to All Details (*ALL) option. Use Ctrl+Click or Shift+Click to select multiple security control codes.
- Click the single right arrow button to move the selected security control code(s) to the Selected section of the screen.
- Click OK. You return to the Edit Access Privilege screen.
- Repeat steps 10-15 to assign the appropriate security control codes to each role/user.
- Once complete, click OK on the Edit Access Privilege screen.
