You use account analysis codes to organize GL accounts by ledger type and to provide an overview of the financial situation for different parts of the GL. Account analysis codes can help differentiate between investments, current or fixed assets accounts and break down the summarized asset ledger into these parts.
You can use account analysis codes for building a structure for the required financial statements on the GL Inquiry screen and for custom specific insight and more specific details on journal entries totals and budget figures.
Add an Account Analysis Code
- Click the Account Analysis Codes link from the Main Menu. The Account Analysis Codes screen opens.
- Select the account analysis code you want to configure (1-12).
- Right-click and select Edit. The Edit Account Analysis Code screen opens.
- Enter the name of the account analysis code into the Description field.
- Enter the name of the account analysis field into the Label Name field.
- Select the GL Account Analysis Code tab. You configure the options available in the account analysis code drop-down in this tab.
- Click the Add button. The Add GL Account Analysis Code screen opens.
- Enter the necessary information:
- Description - Name of the account analysis code drop-down option.
- Status - Only active options are available in the account analysis code drop-down for selection.
- Code - Unique alphanumeric code used by the system.
- Sort Sequence - Order the option displays in the drop-down.
- Click OK. You return to the Edit Account Analysis Code screen.
- Repeat steps 7-9 for each account analysis code drop-down option.
- Click OK on the Edit Account Analysis Code screen.
Change an Account Analysis Code
You can change the information for an account analysis code after you have created it. When you change the account analysis code information, it updates for the GL accounts where it is assigned. If you don't want to update the already existing account analysis code data, then you must use a new account analysis code using the steps in Add an Account Analysis Code.
- Click the Account Analysis Codes link from the Main Menu. The Account Analysis Codes screen opens.
- Select the account analysis code to edit.
- Right-click and select Edit. The Edit Account Analysis Code screen opens.
- Make the desired change.
- Click OK.
To change the drop-down value for an account analysis code:
- Click the Account Analysis Codes link from the Main Menu. The Account Analysis Codes screen opens.
- Select the account analysis code with the drop-down option to edit.
- Right-click and select Edit. The Edit Account Analysis Code screen opens.
- Select the GL Account Analysis Code tab.
- Select the drop-down option to edit.
- Right-click and select Edit. The Edit GL Account Analysis Code screen opens.
- Make the desired change.
- Click OK. You return to the Edit Account Analysis Code screen.
- Click OK.
Remove an Account Analysis Code
If you no longer use an account analysis code and don't want to keep a record of it, you can remove it. You cannot delete account analysis codes.
- Click the Account Analysis Codes link from the Main Menu. The Account Analysis Codes screen opens.
- Right-click on the account analysis code to remove.
- Select Edit. The Edit Account Analysis Code screen opens.
- Select the GL Account Analysis Code tab.
- Select the drop-down options to delete. Use Ctrl+Click or Shift+Click to select multiple options.
- Right-click and select Mark for Delete.
- Click the Save (disk) button. The Edit Account Analysis Code screen remains open.
- Remove the information from the Description field.
- Remove the information from the Label Name field.
- Click OK. The account analysis code is no longer considered in use.
Account Analysis Code Security
The Change Account Analysis Code Labels access privilege is used to control who can add, change and delete account analysis codes. Any roles/users assigned to the privilege can add, change and delete account analysis codes. If no roles/users are assigned to the privilege, it is considered inactive and all roles/users can add, change and delete account analysis codes.

What about transaction analysis codes? Any papers on it? Can it be used to allocate during journal process?

Transaction analysis codes are largely used during the data entry of accounts payable vouchers and manual journals or for imported journal entries. Ungerboeck is open to expanding this functionality and has considered auto-filling these from distribution records or other alternatives. I've added analysis codes but they're not appearing in the drop down in the edit GL Account for selection.

Nancy - are you doing this in v19 or v20? Did you add Analysis codes to Transaction Analysis Code or Account Analysis? Is the Drop down available but missing the items you added to the table? Sometimes it takes a bit for the table to refresh in v20.
