GL account masks define the structure/number of the digits in the GL account code. The mask is often determined by the type or categorization of the GL account. This ensures that any new GL accounts match the existing structure of the GL.
GL account masks can include uppercase alphanumeric characters and the @ symbol. Anything other than these characters are considered a separator.
Add a GL Account Mask
- Click the GL Account Masks link from the Main Menu. The GL Account Masks screen opens.
- Click the Add button. The Add GL Account Mask screen opens.
- Enter the necessary information:
- Description - Name of the GL account mask.
- Code - Unique alphanumeric code used by the system.
- Template - Mask string to use. Use at signs (@) to signify characters and dashes (-) to signify separators. For example, @-@@@-@@@ translates to 1-234-567 where the numbers are determined by the GL account code you assign.
- Status - Determines if the mask is available for selection for a new GL account.
- Click OK.
Change a GL Account Mask
You can change the description for a GL account mask after you have created it.
- Click the GL Account Masks link from the Main Menu. The GL Account Masks screen opens.
- Select the GL account mask to edit.
- Right-click and select Edit. The Edit GL Account Mask screen opens.
- Make the desired change.
- Click OK.
Inactivate a GL Account Mask
If you no longer use a GL account mask but want to keep record of it for reporting or other purposes, you can make it inactive. When you make a GL account mask inactive, it is no longer available for selection when adding a new GL account.
- Click the GL Account Masks link from the Main Menu. The GL Account Masks screen opens.
- Select the GL account mask to make inactive.
- Right-click and select Edit. The Edit GL Account Mask screen opens.
- Select Inactive from the Status drop-down.
- Click OK.
Delete a GL Account Mask
If you no longer use a GL account mask and don't want to keep a record of it, you can delete it. You can only delete GL account masks that are not assigned to GL accounts. You cannot undo the delete process.
- Click the GL Account Masks link from the Main Menu. The GL Account Masks screen opens.
- Right-click on the GL account mask to delete.
- Select Mark for Delete.
- Click the Save button.
