Co-exhibitors are organizations or people who are exhibiting but are not responsible for the booth charges. Every co-exhibitor must have a Main Exhibitor. You can have multiple co-exhibitors linked to one main exhibitor.
Booths are linked to the main exhibitor and not directly linked to a co-exhibitor. The software does not allow you to assign co-exhibitors to booths. Co-exhibitors are automatically assigned the booth number of the main exhibitor.
Co-exhibitors are not responsible for booth charges and are not automatically charged for booth space when using booth validation.
Configure the Event for Co-Exhibitors
To use co-exhibitors, you need to configure your event to allow for co-exhibitors:
- Click the Events link from the Main Menu. The Events page opens.
- Select the event you want to configure for co-exhibitors.
- Right-click and selected Edit -> Edit. The Edit Event window opens.
- Select the Configuration tab.
- Expand the Details section.
- Check the Allow co-exhibitors check box.
- Click OK.
Add a Co-Exhibitor
- Click the Events link from the Main Menu. The Events page opens.
- Select the event you want to configure for co-exhibitors.
- Right-click and selected Add -> Add Exhibitor. The Add Exhibitor window opens.
- Select the Advanced tab.
- Select the exhibitor type from the Exhibitor Type drop-down.
- Click OK.
Exhibitors with the exhibitor type set to Main Exhibitor have a Co-Exhibitors tab. This tab displays all the co-exhibitors linked to the main exhibitor. You can also click the Add button on this tab to add additional co-exhibitors.
Co-Exhibitors in the Exhibitor Portal
Main exhibitors can manage their co-exhibitors in the Exhibitor Portal. To do this, click the Manage Co-Exhibitors link. The co-exhibitors page opens with a list of all the co-exhibitors assigned to the main exhibitor. The main exhibitor can click the Select link for any of their co-exhibitors to enter into the co-exhibitor's Exhibitor Portal and complete tasks on their behalf.
Main exhibitors can also add new co-exhibitors. To add a new exhibitor, click the Add Co-Exhibitor link. When a main exhibitor adds a new co-exhibitor, a new company and contact are added in the software. There there is no company selection option in the Exhibitor Portal, so a new company is always created in the software. If this is not desired, the best practice recommendation is gathering the co-exhibitor information in an exhibitor note field or exhibitor user defined field (UDF).
Co-exhibitors can log into the Exhibitor Portal and complete tasks on their own. Co-exhibitors cannot log in as their main exhibitor.
You can define tasks and form sections where they are only available for main exhibitors, co-exhibitors or both. This allows you to provide different forms to main exhibitors and co-exhibitors.

Hi Abokun,
An exhibitor can sign in to the exhibitor portal, click on their name at the top of the window and there is a button for "Manage Co-exhibitors".

Hi Alex, thanks for your prompt reply. I don't have this option at all (in the back-end I assigned the exhibitor as "Main Exhibitor" and added the co-exhibitor). Please see the screenshot

Try clicking on the company name right next to the contact name. If it doesn't exist there, then you may have to enable co-exhibitors in the EXP setup. Go to the 'more settings' tab in the setup and check the 'allow managing co-exhibitors' checkbox.

That is the correct window. You may need to edit your layout to see the option.

In that case, you may want to check with your CSM/ consultant or open a ticket with client care. It may be a licensing issue that I'm not aware of or something related to permissions. I'm afraid I can't be more help without going into your system.

Hi Abokun, the ability to manage co-exhibitors in the Exhibitor Portal does need an additional software license. Please work with your Account Manager and they will be able to help you out.
