When working with a new event, you may want to bring over a list of exhibitors from other previous events. This is often used when you want to bring in exhibitors from several events at one time. To create exhibitors from other events:
- Click the Events link from the Main Menu. The Events screen opens.
- Select the event to add the exhibitors to.
- Right-click and select Tools -> Exhibitors -> Create Exhibitors. The Create Exhibitors screen opens.
- Expand the Copy From Events section.
- Enter the necessary information:
- Event - Event(s) that contains the exhibitors you want to copy. Use the check box in the drop-down to select multiple events at one time.
- Exhibitor Status - Exhibitors within the selected status range are copied.
- Exhibitor Categories - Exhibitors with categories matching the selected categories are copied.
- Exhibitor Stage - Exhibitors assigned to the stage(s) matching the selected value(s) are copied.
- Exhibitor Type - Select to copy Main Exhibitors or Co-Exhibitors.
- Expand the Advanced section.
- Select your desired copy options:
- Allow Duplicate Exhibitors - If checked, the same account can have multiple exhibitors.
- Keep Exhibitor Status - If checked, the exhibitor status for each exhibitor from the previous event is assigned to the corresponding exhibitor on the current event.
- New Exhibitor Status - Status for the new exhibitors.
- Keep Exhibitor Categories - If checked, the exhibitor categories for each exhibitor from the previous event is assigned to the corresponding exhibitor on the current event.
- New Exhibitor Categories - Categories to assign to the new exhibitors.
- Keep Salesperson - If checked, the salesperson for each exhibitor from the previous event is assigned to the corresponding exhibitor on the current event. If a salesperson is not assigned on the previous event, the salesperson selected below is used.
- Salesperson - Salesperson for the new exhibitors. If Keep Salesperson is checked, only exhibitors with no salesperson are assigned the selected salesperson.
- Stage - Sales stage for the new exhibitors.
- Win Probability - Win probability to assign to the new exhibitors.
- Copy Catalog Profile - If checked, the exhibitor's catalog profile is copied.
- Copy Booth Preferences - If checked, the exhibitor's booth preferences are copied. The following fields are copied: Booth Number 1-5, Preferred Area, Length, Width, Open Sides, Unit of Measure, Location Near Exhibitors, Away Exhibitors, Competitors, Hall, Comments, Exhibitor Points and Revenue.
- Copy Products and Services - If checked, the exhibitor's products and services are copied. You can only copy these when products are already set up on the current event.
- Copy User Defined Fields - If checked, the exhibitor's user defined fields are copied. You must have the same user defined fields on the previous event and current event to copy user defined fields.
- Copy Notes - If checked, the exhibitor's notes are copied.
- Copy Documents - If checked, the exhibitor's documents are copied.
- Copy Data Into Last Event Fields - If checked, the booth information from the previous event is copied into the following fields: Last Event Booth Number, Last Event Booth Area, Last Event Booth Length, Last Event Booth Width, Last Event Booth Open Sides, Last Event Comments, Last Event Exhibitor Status, Last Event Preferred Booth, Last Event Preferred Area, Last Event Preferred Height, Last Event Preferred Length, Last Event Preferred Width and Last Event Preferred Open Sides.
- Maintain Main and Co-Exhibitor Relationship - If checked, any exhibitors with a main and co-exhibitor relationship maintain that relationship. If unchecked, all co-exhibitors are copied as main exhibitors. The current event must allow Main and Co-Exhibitors to maintain the relationship.
- Click OK.
