Work orders may be assigned to specific personnel accounts in order to more efficiently manage tasks and service delivery. Doing so will add more accountability in work order management, as well as the ability for your staff to use the Mobile Work Orders (MWO) application.
Setup: All staff to which work orders will be assigned need to be in the system as personnel accounts, as well as having a department assigned on their personnel account.
- From the work orders window or the work orders tab of the event, highlight all work orders to be assigned. Right click and select Assign To. The Edit Multiple Work Orders window opens.
- Check the Assigned To box, then select the personnel contact.
- Click OK. A message displays confirming the assignment.
Notes:
- Add the Assigned To column to work order views to review assignments.
- After work orders are assigned to personnel accounts, the user is able to log in to the Mobile Work Orders (MWO) application in order to view, modify and complete work orders.
Work Order Assignment Access Privileges
There are 2 access privileges available for organizations that need to place limitations on assignment of work orders or work order items.
- Allow Assignment of Work Orders to Others
This implicit access privilege controls who can assign work orders to others based on the work order department. Roles/users are assigned security privileges in two parts - Assign Access Privileges and Assign Details. When a role/user is assigned to the privilege, Assign Details defaults to all departments. To limit access to selected departments, right-click on the assigned role/user and select Assign Details to access the Assign Details screen.
If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can access all departments' work orders. If a role/user is assigned (activating the access privilege), all unassigned users cannot assign others to work orders. - Allow Assignment of Work Order Items to Others
