How do I create service orders by posting time sheet entries?
The use of this functionality requires that the Personnel module be licensed.
For details on creating skills, please see items one through five of the knowledge base article “Create and Assign Skills in the Personnel Module.”
Also, see the related article “Create Actuals for Service Orders by Posting Timesheet Entries.”
- Navigate to the “Timesheet Batches” screen and create a new batch by clicking on ‘Add’ icon. Specify the event and the usage of the existing function that will contain the service order you are about to create.
Note: If you do not specify a usage that is unique within the function set of the event, the service order that is created may be assigned to any of the functions. - Select an employee in the Personnel field, and specify the skill to be applied. Enter the start date and time and the number of hours worked. Instead of populating the latter field, you may instead input the end date and time and the hours will be calculated automatically.
- Leave the Order and Line fields blank since you will be creating a new service order rather than applying actuals to an existing one.
- After each timesheet entry, click the “Accept” button, then select the accepted record and click “Apply” and “Clear”.
- You may create entries for multiple employees, or input different sets of entries for the same employee. The default event ID that is specified as a default may be overridden; you may thus include time entries from different events in the same timesheet batches – these will of course generate different service orders. After all entries have been input, click on “OK”.
- Select the timesheet batch and click on the ‘Post’ icon.
- Click on the 'Post' button. If there are no errors, a pop up will appear indicating so.
- Click OK.
- Check each event that you posted to verify the creation of corresponding service orders and service order entries.
Note: If multiple events are included in the timesheet batch, multiple service orders containing a single item will be created. If all the timesheet entries are posted to the same event, a single service order will be created containing all the entries of the batch.
