Personnel skills are the billable skills or labor you provide your customers, for example rigging, bartender, security, valet or server. To use personnel skills:
- Create the Resource Type(s)
- Add the Resource Type(s) to the Price List(s)
- Create the Personnel Skills
- Assign the Skill(s) to Personnel Accounts
- Create the Service Order
- Assign the Personnel
Create the Resource Type(s) and Assign to Price List(s)
You first need to create resource types for each of the billable personnel skills. You use resource types to create the price list items that you can add to orders to charge for the skill/labor. Personnel skill resource type are normally charged per hour. You should create a separate type for each skill you need to order.
When you create the resource type(s), create them as class 5 resources and check the Scheduling check box.
After you create the resource types, you need to add them to the necessary price lists. When adding the resource types to the price list, enter the hourly rate for each skill.
Create the Personnel Skill(s)
After creating the resource type(s) and adding them to the price list(s), you can create the personnel skills.
- Click the Skills Master link from the Main Menu. The Skills Master page opens.
- Click the Add button. The Add Skill window opens.
- Enter the necessary information:
- Description - Name of the skill.
- Code - Code for the skill. The code must match the Resource Type Code you created for the skill in the Create the Resource Type(s) section.
- Type - Resource type for the skill you created in the Create the Resource Type(s) section.
- Click OK. Repeat for each skill you need to create.
Assign the Skill(s) to Personnel Accounts
Now you can assign the skills to the personnel who can perform them.
- Click the Contacts - Personnel link from the Main Menu. The Contacts | Personnel page opens.
- Select the personnel account to assign the skill(s).
- Right-click and select Edit. The Edit Contact window opens.
- Select the Account Skills tab.
- Right-click on a skill and select Insert Row or click the Insert Row link if there are no existing skills. A new row displays in the tab.
- Select the skill to assign to the account from the Skills drop-down.
- If necessary, enter a Start Date and Maximum Hours. Maximum Hours is for informational purposes only and does not stop you from scheduling someone for hours beyond the maximum hours.
- If necessary, update the Skill Rank. Skill Rank is used to indicate primary, secondary, tertiary, etc. skills any time that multiple skills are added to a contact. The field auto-populates according to the order that account skills are added.
- Click OK.
Create the Service Order
After the resource types are created and added to the price list and the skills are assigned to personnel, you can create service orders for the skills/labor just as you would normally create a service order for any other chargeable item. You need to select the class 5 resource type created in the Create the Resource Type(s) section.
Assign the Personnel
After you create the order with the skill/labor item, you can then assign it to the person who is performing the skill/labor.
- Click the Workforce Scheduling link from the Main Menu. The Workforce Scheduling page opens.
- Select the order item to schedule.
- On the right side of the screen, click the Add button in the Personnel Schedule tab. The Add Workforce Scheduling Detail window opens.
- Select the personnel account to schedule from the Account drop-down.
- Currently, the available accounts are NOT filtered according to the skill of the item.
- Update any of the other fields as necessary.
- Click OK.
