is it possible to create auto messages as to when an event goes firm that the contract needs to be raised, and also if the contract hasn't been raised after a period of time via the contract module is there a way to message the member of staff to notify them of this.

    Hi Kris,

There is a flag on the event to determine if the event should have a contract or not.  (You can set the default state of this flag via Org Parm EM840).  Then you can have a View of the Event Master with both the 'Events Without Contracts' flag and the 'Contract Required' flag set to Yes (in addition to status filters if required).

This gives you an up to date list of those events that you should be generating contracts for without the need to be generating messages in the system.

    Hi Sean

Thanks for this, we use the 'contract raised' flag but this is a manual input of entering in the tick within the box when the contract is raised I was wondering if this can be auto and I was looking to see if an trace of some sort can be made to show that the contract still hasn't been raised after a certain time after the event went to a firm status.

    Thanks

    Kris

    Hi Kris,

One possible solution would be to add a checklist to the event when the status is changed to firm.  The user who changes the status would have to manually add the checklist - it wouldn't be automatically added when the status was changed.  But the checklist could then be configured to have an activity created to X number of days after the current date as a reminder to raise the contract.

    Thanks,
    Maggie

  • Hi Kris,

We have some custom code for creating activities/traces (when event status changes, invoices are raised that sort of thing). Maybe raise it at the user group later this month, happy to share.

    Thanks
