Adding a Note to a Service Order Item

    Is there any way to have a note on a Price List Item automatically copy to the Service Order Item when that item is added to a service order?

    Hi Anthony,

    Sorry for the delay. If you add the note to the resource in the Resources screen, then it will carry through to the order item when it's added to a service order. The note on the Price List item doesn't carry through to the order item.

    This is how I have my notes set up for resources, my question is when the sales team adjusts the note for the resources, why isn't the modified note moving over.

    In my experience with resource item default notes; modified notes will display for newly entered items; not pre-existing. This is a good thing in most cases. If I update a resource item default note, I do a quick find on any order that has this item selected and manually update the notes.

    Thank you for that.  But here is the problem that I am running into.  Say for example I have a resource called Silver Buffet.  In the note it may have choice of bacon or sausage, orange juice or apple juice etc.  So when the sales team is modifying it the adjust the things that the need:

    Eggs

    Sausage

    Apple Juice.

    That is what I need to move to the actual since that is what the actually choose for the Silver Buffet.

     

    I want to keep the default description in place so that they next time they order the Silver Buffet then it is all there again.

    Hi Gary, Below is a sample default menu item for "Continental Breakfast". When this item is selected, the default note displays: Our agreed upon; internal communication between the Event Coordinators and Catering staff, is we never delete or change the resource item note. Customer selections are highlighted in bold text. I am unable to show the bold text in this message. Send me your email, I am happy to share a screen shot. We will be transitioning many of our default notes to Packages for catering; currently we use default notes. We have many packages for equipment.

    Buffet style service includes: Freshly Brewed Regular & Decaffeinated Coffee, and Hot Tea, Seasonal Sliced Fresh Fruit Display, Butter, Cream Cheese & Assorted Jellies, Chilled Carafes of Orange and Cranberry Juice
    Choose 2: Assorted Breakfast Breads, Coffee Cake, Muffins, Danish, Cinnamon Rolls or Assorted Bagels.
    Minimum number of guests for continental service is 10.

    Thank you so much for your help.  We just came online with Ungerboeck in November so still trying to work out a few kinks.  I looked at the packages but we customize about 80% of our menus here for the clients and that became difficult for us to use.

    You're very welcome. Yes, the bold text moves over to actuals and is reflected on final invoice. For custom menus (menus literally starting from scratch) I have created a few generic line items such as:
    Custom Dinner per Guest
    Custom Lunch per Guest
    Custom Breakfast per Guest
    Custom Dessert per Guest....and so on. These have been helpful at the end of the year to quantify how many custom menus the kitchen is producing by menu type. We do not have a default note for these items; we copy paste menus provided by the kitchen exactly how we receive to avoid miscommunication. The key is to have consistent and agreed upon language and entry for your team. So many options for entry, which is fantastic, because it allows you to customize based on your needs.
