The A/R Demographics contains the accounts receivable information for accounts and contacts. Only accounts/contacts marked as Active in the Receivables designation have A/R Demographics.
To access the A/R Demographics for an account or contact:
- Click the Accounts or Contacts link for the appropriate designation from the Main Menu. The Accounts or Contacts screen opens.
- Select the account or contact for the A/R demographics.
- Right-click and select View -> A/R Demographics. The A/R Demographics screen opens.
The following fields and sections are available on the A/R Demographics screen:
- Hold Orders - If you have a customers with unpaid invoices, you can place the account/contact at a Warn or Hold status. See Place an Account/Contact on Hold or Warn for more information.
- Terms - Customer terms for the account/contact. Defaults to configuration setting on the Accounts Receivable Configuration screen.
- Grace Days - Number of days to add to the due date of an invoice after which the invoice becomes delinquent and if using finance charges, the finance charges are calculated for the invoice. If no number is entered, then a value of 0 is used. Defaults to configuration setting on the Accounts Receivable Configuration screen.
- Price Class - Determines the event price list to default for the associated event order account. Defaults to configuration setting on the Accounts Receivable Configuration screen.
- Email - Email address for invoices, dunning statements and customer statements.
- Taxable - If checked, account/contact is taxed on orders. Defaults to configuration setting on the Accounts Receivable Configuration screen screen.
- Tax ID - Tax ID for the account/contact. For informational purposes only.
- Dictionary - Dictionary to use for late notices and customers statements.
- Payment Method - Click the link to select the default payment method to use when adding payments for the account/contact. See Charge Now Process for Credit Cards for more information.
- Account Specific Payment Methods - Payment method available for the account/contact when processing orders through the Exhibitor Service Center public-facing application.
Additional Information Section
- Tax Scheme - Tax scheme to use for the account.
- Tax Registration Status - Current status for the tax registration ID.
- Additional Tax ID - Additional tax ID. Informational purposes only.
- PO Number Required - If checked, the purchase order field when adding orders is required.
Credit & Collections Section
- Credit Limit, Credit Rating and Credit Review Date - Credit limit information for an account/contact. See Credit Ratings and Credit Limits for more information.
- Send Customer Statements - If checked, the account/contact can receive customer statements. Defaults to configuration setting on the Accounts Receivable Configuration screen.
- Dunning Statements - If checked, the account/contact can receive dunning statements.
- Finance Charge Rate - Interest rate for overdue invoices if using finance charges.
Edit A/R Demographics for Multiple Accounts
You can update the A/R Demographics information for multiple receivable accounts at one time using the Edit Multiple A/R Demographics screen.
- Click the Accounts - Receivable link from the Main Menu. The Accounts screen opens.
- Select the accounts to update. Use Ctrl+Click or Shift+Click to select multiple accounts.
- Right-click and select Edit -> Edit Multiple A/R Demographics. The Edit Multiple A/R Demographics screen opens.
- Check the check box next to the field to edit. Only fields you check are updated. If no value is selected in a drop-down or entered into a field and the check box is checked, the field is updated on all selected accounts to blank.
- Select the new value from the drop-down or enter the new value into the field.
- Click OK.
A/R Demographics Security
Adding and/or changing an account or contact's A/R Demographics is controlled by the Allow Update of Receivable Demographics access privilege. Users and/or roles assigned to the privilege are allowed to add and/or update the A/R Demographics for accounts and contacts. Any roles/users not assigned to the privilege are not able to add and/or update the A/R Demographics for accounts and contacts. If no roles/users are assigned to the privilege, it is considered inactive and all users can add and/or update the A/R Demographics for accounts and contacts.

I have one account on my AR Balances report that seems as if it is keeping a running total of past events. The current balance is extremely high but the 'as of" balance is correct. Has anyone had this issue?
