Before you can close a service order, you have to complete (close) the work orders for the service order. A completed work order indicates that the work is done for the all the items in the work order.
When you complete a work order, you create actuals for the service order. Enterprise uses these actual items and quantities for invoices. When you complete a work order and there are open (not completed) work order items, the actual units defaults to the order units value. If the actual units is different than what was ordered, see the Complete Work Order Items section.
To complete work orders:
- Click the Events link from the Main Menu. The Events page opens.
- Select the event with the work order(s) to complete.
- Right-click and select Edit. The Edit Event window opens.
- Select the Work Orders tab.
- Select the work order(s) to complete. Use Ctrl+Click or Shift+Click to select multiple work orders.
- Right-click and select Tools -> Complete Work Orders. A confirmation message displays when the process is complete.
- Click OK. The work order is completed and actuals are created.
Complete Work Order Items
If you have not completed all the work for a work order, you can complete the individual work order items. To complete work order items:
- Click the Work Order Items link from the Main Menu. The Work Order Items page opens.
- Select the item to complete.
- Verify the ordered quantity in the Unites column is the same as the actual quantity delivered.
- If the actual units are the same as the ordered units, check the Complete check box. When the Complete check box is checked, the Entry Units field defaults to the units for the work order item.
- If the actual units differ from the ordered units, enter the actual units into the Entry Units field. After you enter the value into the Entry Units field, you can check the Complete check box for the item if it is ready for completion.
- Repeat step 3 for all work order items that need actuals entered.
- Click Save . The Actual Units column displays the quantity actually delivered.
If all the work order items you need to complete have the same quantity of actuals as what was ordered, you can use the Check All button at the to of the Work Order Items page to select and complete multiple work order items at one time:
- Click the Work Order Items link from the Main Menu. The Work Order Items page opens.
- Using the Advanced Search, filter the results to the work order items you need to complete.
- Click the Check All button in the left corner of the page. All the Complete check boxes are checked
- Click Save.
Actuals Not Created For A Work Order
If actuals are not created when completing work orders, check that the Ordered Only check box on the Edit Resource window is not checked for the item. If this check box is checked, it means the item can only exist in the ordered phase and you cannot generate actuals for it. Unchecking the Ordered Only check box allows you to create actuals for the item.
Complete Work Order Security
Allow Access To Work Order Status By Department
This access privilege controls who can view the work orders on the Work Orders page by department. Roles/users assigned to the privilege can view work orders for the departments they are assigned on the Assign Details page. Any roles/users not assigned to the privilege cannot see the works orders for any department. Any roles/users not assigned a specific department cannot see the work orders for that department. Any roles/users not assigned to the privilege cannot see any work orders. If no roles/users are assigned to the privilege, it is considered inactive and all users have access to all departments' work orders.
Work Order Completion
This access privilege controls who can complete work orders. Any roles/users assigned to the privilege are able to complete a work order. Roles/users not assigned to the privilege are not able to complete a work order. If no roles/users are assigned to the privilege, it is considered inactive and all users can complete work orders. This option does not include completing work order items, only the work order as a whole.
Work Order Item Completion
This access privilege controls who can complete work order items. Any roles/users assigned to this privilege can complete a work order item. Roles/users not assigned to the privilege are not not able to complete a work order item. If no roles/users are assigned to the privilege, it is considered inactive and all users can complete any work order item. This access privilege does not include completing work orders, only the individual work order items.
