When you cancel a booking, the software automatically removes the rate associated with the booking. The rate is cleared from the booked space and the item on the booking order is either cancelled or deleted based on how you configured the software.
In the Booking Status section of the Booking Configuration screen, there is an option called On Booking Cancellation, Cancel Booking Order Item. If this is checked, the booking item on the booking order is set to a cancelled status. If this is unchecked, the booking item is deleted from the booking order.
If there are functions associated with the cancelled spaces, the functions remain and are not deleted or set to a cancelled status. The cancelled space is not removed from the function.
If there are service orders attached to the function, the service orders and their items remain attached to the function and the cancelled space still displays in the Space and Function Space fields.
The cancelled booking is not available for assigning to any other functions. Momentus Technologies recommends updating any functions assigned to a cancelled space to an active space.
The cancelled booking remains on the event.
To cancel a booking on an event:
- Click the Events link from the Main Menu. The Events screen opens.
- Select the event with the booking to cancel.
- Right-click and select Edit -> Edit. The Edit Event screen opens.
- Select the Bookings tab.
- Select the booking to cancel.
- Right-click and select Edit -> Edit. The Edit Booking screen opens.
- Select the appropriate cancelled status from the Status drop-down.
- Click OK.
