The Work Orders screen shows all work orders across events and service orders. The Work Orders screen is often used to view all the upcoming work orders for a department. You can access the Work Orders screen by clicking the Work Orders link from the Main Menu.
The Work Orders screen is commonly sorted by Department and filtered by Due Date to result in a view that shows the future work orders. The columns mostly commonly shown on the screen are:
- Order – Displays a link to the service order which generated the work order. You can click the link to open the Edit Service Order screen.
- Status – When a work order is created, it is set to an Open status. Once the work is completed, the work order is completed and set to a Completed status.
- Space – Order – The space to deliver the service/items.
- Due Date and Due Time – The date and time to deliver the items and/or services.
- Revision Number – Indicates if any changes were made to the service order item since the work order was last printed. If any changes were made to the service order item after it was printed, the Revision Number column is updated with the number of the revision and the Printed column is changed to No.
- Printed – If Yes, the work order was printed. If No, the work order was not printed. This ensures that duplicate work orders are not printed and distributed to the various departments. By default, the Work Orders screen only displays the non-printed work orders. To view all the work orders, open the Advanced Search section of the screen and check the Include Printed Orders check box.
When a work order is selected on the left side of the screen, additional work order details display on the right side of the screen, such as a Work Order Items tab which contains all the items on the work order and a Notes tab which contains all notes from the service order and the work order.
You can export the information on the screen to Excel or PDF but most commonly the information is distributed by printing the Work Order reports from this screen. To print the Work Order reports, highlight all the work orders to print, right-click and select Tools -> Reports.
Display Notes on the Work Orders Screen
You can view work order and service order notes on the Notes tab of the Work Orders screen, but you can also view these notes directly on the Work Orders screen. Displaying these notes is helpful in creating on-screen reports that include all the necessary information for the work order.
To view work order notes on the Work Orders screen:
- Click the Work Orders link from the Main Menu. The Work Orders screen opens.
- Right-click on the column headers and select Show Columns. The Column Settings screen opens.
- Select the Order Notes column in the Available section of the screen.
- Click the green plus (+) sign to move the column to the Selected section of the screen.
- Click OK. The Work Orders screen displays the work order and service order notes for each item on the screen.
You can also select which notes show in the column by adding the Note Class and Note Sensitivity filters to the Work Orders screen. If these filters are not available, click the Edit Layout link and add the fields to the search area.
It is recommended that you use the Note Class and Note Sensitivity filters when you display notes. The Work Orders screen displays a lot of information and it can take a long time to load if the information is not filtered properly.
Make sure you save your view with the Order Notes column and your desired filters so it is always on your Work Orders screen.
Work Order Security
Allow Access To Work Order Status By Department
This access privilege controls who can view the work orders on the Work Orders screen by department. Roles/users assigned to the privilege can view work orders for the departments they are assigned on the Assign Details screen. Any roles/users not assigned to the privilege cannot see the works orders for any department. Any roles/users not assigned a specific department cannot see the work orders for that department. Any roles/users not assigned to the privilege cannot see any work orders. If no roles/users are assigned to the privilege, it is considered inactive and all users have access to all departments' work orders.
Allow Editing Of Work Orders
This access privilege controls who can edit work orders. Any roles/users assigned to this privilege can edit work orders. Roles/users not assigned to the privilege are unable to edit work orders. If no roles/users are assigned to the privilege, it is considered inactive and all users can edit work orders.
Work Order Completion
This access privilege controls who can complete work orders. Any roles/users assigned to the privilege are able to complete a work order. Roles/users not assigned to the privilege are not able to complete a work order. If no roles/users are assigned to the privilege, it is considered inactive and all users can complete work orders. This option does not include completing work order items, only the work order as a whole.
