Status groups are used with individual statuses to create categories of statuses. For example, you may create a status group named Tentative that contains the 1st Option, 2nd Option and 3rd Option statuses. You can use status groups on various screens for searching and display purposes.
Before you can configure status groups, you must configure the individual statuses. To learn how to configure individual statuses, see Event Statuses.
Add a Status Group
- Click the Status Groups link from the Main Menu. The Status Groups screen opens.
- Click the Add button. The Add Status Group screen opens.
- Enter the necessary information:
- Description - Name of the status group.
- Text Color - Text color when the status group displays in drop-downs and screens throughout the system.
- Background Color - Background color when the status displays in drop-downs and screens throughout the system.
- Abbreviation - Shortened description for the status group.
- Code - Unique alphanumeric code.
- Click OK. You can now assign the status group to the individual statuses.
- Click the Event/Job/Booking Status link from the Main Menu. The Event/Job/Booking Status screen opens.
- Select the status to assign to the status group.
- Right-click and select Edit. The Edit Event/Job Status screen opens.
- Select the status group to assign to the status from the Status Group drop-down.
- Click OK.
Change a Status Group
You can change the description, text color, background color and abbreviated description for a status group after you have created it. When you change the information for a status group, it updates wherever the status group is used. If you don't want to update the already existing status group data, then you must add a new status group using the steps in Add a Status Group.
- Click the Status Groups link from the Main Menu. The Status Groups screen opens.
- Select the status group to edit.
- Right-click and select Edit. The Edit Status Group screen opens.
- Update the necessary information.
- Click OK.
Delete a Status Group
If you no longer use a status group and don't want to keep a record of it, you can delete it. When you delete a status group that is used, you receive a prompt to select a status group to replace the status group you are deleting. You cannot undo the delete or delete and replace process.
- Click the Status Groups link from the Main Menu. The Status Groups screen opens.
- Right-click on the status group to delete.
- Select Mark for Delete.
- Click the Save button. If the status group is used, the Replace screen opens.
- Select the status group from the drop-down to replace the deleted status group.
- Click OK.
