Room types are the rooms your properties have available for people to reserve. You need to create a room type for each room option being offered. An example of a room type might be a Double Standard or Double Superior room, or a Single Standard or Single Superior room. These room types are then available to your registrants to reserve during online registration if housing is configured to be available to them. Add a Room Type
- Navigate to the Room Types page and click Add.
- Enter the following information:
- Code: Unique alphanumeric value.
- Description: Name of the room type.
- Abbreviated Description: Shortened name of the room type.
- Number of Persons: Standard occupancy for the room type.
- Resource: Resource associated with the room type. This resource is added to the registration order when the room type is ordered during registration.
- Alternate Room Type: Room type to use if all the current room types are sold.
- User Sort Order: Numeric value to determine the order the room types display.
- Click OK.
Edit a Room Type
You can change the information for a room type after you have created it. When you change the information for a room type, it updates wherever the room type is used, including existing events. If you don't want to update the already existing room type data, then you must add a new room type using the steps in Add a Room Type.
To edit a room type:
- Navigate to the Room Types page and find the room type to edit.
- Right-click and select Edit. The Edit Room Type window opens.
- Update the information as needed.
- Click OK.
Retire a Room Type
If you no longer use a room type but want to keep record for reporting or other purposes, you can retire the record. When you retire a room type, it is no longer available for selection.
To retire a room type:
- Navigate to the Room Types page and find the room type to retire.
- Right-click and select Edit. The Edit Room Type window opens.
- Check the Retire box.
- Click OK.
Delete a Room Type
If you no longer use a room type and don't want to keep a record of it, you can delete it. You cannot delete room types which have been assigned to properties. You cannot undo the delete process.
- Navigate to the Room Types page and find the room type/s to be deleted.
- Right-click on the room type and select Mark for Delete.
- Click Save.
