Add Bookings to Contracts
You can add bookings and their booking orders to an existing contract from the contract. When you add a booking to a contract, the booking order is automatically added to the contract. To add a booking to an existing contract:
- Click the Events link from the Main Menu. The Events screen opens.
- Select the event with the booking(s) and contract.
- Right-click and select Edit. The Edit Event screen opens.
- Select the Contracts tab.
- Select the contract to add the booking(s).
- Right-click and select Edit. The Edit Contract screen opens.
- Select the Bookings tab.
- Click the Add Existing Bookings button. The Advanced Search Bookings screen opens.
- Select the booking(s) to add to the contract. Use Ctrl+Click or Shift+Click to select multiple bookings.
- Click the Select button. The booking(s) is added to the contract. A prompt appears to revise the contract. Click Yes to revise the contract and update the status. Click No to revise at a later date. See Contract Revisions for more information. Depending on the contract status, you may receive a prompt to create a payment plan or add to a payment plan if one exists on the contract. Select Yes or No as needed.
Remove a Booking
Removing a booking also removes any associated booking orders from the contract. If multiple contracted bookings with charges exist on one order, removing a single booking creates a new order for that booking. The remaining contracted bookings remain on the original order.
To exclude space rental charges from a contract, remove the booking and booking order from the contract. You could also create two separate contracts: one for space rental charges and another for other charges.
The steps to remove a booking(s) is the same whether there is a booking order or not. To remove a booking and/or booking order from a contract:
- Click the Events link from the Main Menu. The Events screen opens.
- Select the event with the booking(s) to remove.
- Right-click and select Edit. The Edit Event screen opens.
- Select the Contracts tab.
- Select the contract with the booking(s) to remove.
- Right-click and select Edit. The Edit Contract screen opens.
- Select the Bookings tab.
- Select the booking(s) to remove from the contract. Use Ctrl+Click or Shift+Click to select multiple bookings.
- Right-click and select Mark for Delete.
- Click OK. You may receive also receive a prompt about revising the contract and/or generating contract documents. Select Yes or No depending on your organization's processes.
