What is a work order?
A work order is created automatically by the system whenever a service order or registration order is created. The work order contains all the items (called work order items) each department within your organization needs to deliver or provide for an event, such as catering, audio visual, labor, etc.
How is a work order created?
Items that are added to orders are created in the Resources screen and assigned to a specific department. When a service order is created, work orders are automatically created by the system for each item department on the order.
Tax resources (class 8), payment plan resources (class 9) forecast orders and revised forecast orders do not have work orders created for them.
How are work orders used?
After the work orders are created, departments within your organization can use them to know what items and/or services they need to deliver, where to deliver the items/services and when to deliver the items/services. After the departments deliver the items and/or services, the quantity actually delivered is recorded (known as actuals) and that actual value is used to invoice the order.
Why are work orders created by item department?
The separation by item department reduces confusion and missed items since all items on a work order are delivered by the same department. For example, the Catering Department can easily see all the items they need to deliver for a particular day and time rather than reviewing multiple service orders, across multiple events that also has items for other departments.
What is the difference between a service order and a work order?
A service order is created by someone within your organization or online by a client for the requested items for an event. Items from multiple departments are often on one service order and you can have multiple service orders for one event.
After a service order is entered, a work order is automatically created based on the item department assigned to each item on the order. The work order is then used by each department to deliver the items and/or services.

Hi Daniel,
Some well-crafted Work Order Items screens can make a HUGE impact on operational departments. My advice is to never focus on Work Orders, always skip directly to the Work Order Items. I add the WO Items action to the Service Orders Global Navigation Group for easy access.
I typically create a view that includes the Set checkbox and the Cancel checkbox.

At the moment we are not using Work Orders at all and we are interested into implementing them however we were wondering what are some of the industry's "best practises".

Hi Sean,
Thanks for the help! I'll definitely look into what you said and it makes sense to skip out Work Orders and focus directly on the items. We'll look into setting up easy to use views and make sure to use the check boxes.
