Classes classify the different kinds of events or jobs you work with. Classes are the middle tier in a three tier classification system you can define for events and jobs. The other two tiers are categories and types.
Classes are often used:
- To search and report on various event and job screens
- To determine GL account(s) when creating journal entries
- To create operation reports with financial data
- By training organizations for course numbers
- Classify potential business when using group profiles or event opportunities
Add a Class
- Click the Classes link from the Main Menu. The Classes screen opens.
- Click the Add button. The Add Class screen opens.
- Enter the following information:
- Description - Name of the class.
- Code - Unique alphanumeric value.
- Scope - Select if the class is available for events (Event), jobs (Job) or both events and jobs (Both).
- Click OK.
Change a Class Description or Scope
You can change the description and/or scope for the class after you have created it. When you change the description of a class , it updates wherever the class is used. If you don't want to update the already existing class data, then you must add a new class using the steps in Add a Class.
- Click the Classes link from the Main Menu. The Classes screen opens.
- Select the class to edit.
- Right-click and select Edit. The Edit Class screen opens.
- Update the description
- Click OK.
When you change the scope of a class, you receive a prompt to select a class to replace the class that is no longer available for the event or job.
- Click the Classes link from the Main Menu. The Classes screen opens.
- Select the class to edit.
- Right-click and select Edit. The Edit Class screen opens.
- Update the scope.
- Click OK. The Replace screen opens.
- Select the class from the drop-down to replace the removed class.
- Click OK.
Inactivate a Class
If you no longer use a class but want to keep record of it for reporting or other purposes, you can make it inactive. When you make a class inactive, it is no longer available for selection in the Class drop-down.
- Click the Classes link from the Main Menu. The Classes screen opens.
- Select the class to make inactive.
- Right-click and select Edit. The Edit Class screen opens.
- Check the Retire check box.
- Click OK.
Delete a Class
If you no longer use a class and don't want to keep a record of it, you can delete it. When you delete a class that is used, you receive a prompt to select a class to replace the class you are deleting. You cannot undo the delete or delete and replace process.
- Click the Classes link from the Main Menu. The Classes screen opens.
- Right-click on the class to delete.
- Select Mark for Delete.
- Click the Save button. If the class is used, the Replace screen opens.
- Select the class from the drop-down to replace the deleted class.
- Click OK.
