You use access privileges to control the information roles/users can add, edit, delete or view. You use access privileges in conjunction with access management. Proceed cautiously before making changes to any access privileges as any changes may have an impact on other users in your system.
You can change work order access privileges from either the Access Privileges screen on the Main Menu or from the Event Management Configuration screen on the Access Privileges tab.
Below is a list of available work order access privileges.
Allow Access To Work Order Status By Department
This access privilege controls who can view work orders based on the work order department. Roles/users are assigned security privileges in two parts - Assign Access Privileges and Assign Details. When a role/user is assigned to the privilege, Assign Details defaults to all departments. To limit access to selected departments, right-click on the assigned role/user and select Assign Details to access the Assign Details screen.
If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can access all departments' work orders. If a role/user is assigned (activating the access privilege), all unassigned users cannot view any departments' work orders.
Allow Assignment of Work Order Items to Others
This access privilege controls who can assign work order items to others based on the work order department. Roles/users are assigned security privileges in two parts - Assign Access Privileges and Assign Details. When a role/user is assigned to the privilege, Assign Details defaults to all departments. To limit access to selected departments, right-click on the assigned role/user and select Assign Details to access the Assign Details screen.
If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can access all departments' work orders items. If a role/user is assigned (activating the access privilege), all unassigned users cannot assign others to work order items.

Work Order Completion
This access privilege controls who can complete work orders. Any roles/users assigned to the privilege can complete work orders while any roles/users not assigned to the privilege cannot complete work orders. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can complete work orders. This privilege does not apply to completing certain items on a work order but to completing the entire work order.
Work Order Item Completion
This access privilege controls who can complete work order items. Any roles/users assigned to the privilege can complete work order items while any roles/users not assigned to the privilege cannot complete work order items. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can complete work order items. This privilege only applies to work order items and does not apply to completing the entire work order.
Allow Opening of Work Orders
This access privilege controls who can open completed work orders. Any roles/users assigned to the privilege can open completed work orders while users not assigned to the privilege cannot open completed work orders. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can open completed work orders. You can only open a completed work order if the order it is associated with is not closed.
