You use access privileges to control the information roles/users can add, edit, delete or view. You use access privileges in conjunction with access management. Proceed cautiously before making changes to any access privileges as any changes may have an impact on other users in your system.
You can change event opportunity access privileges from either the Access Privileges hyperlink on the Main Menu or from the Event Sales Configuration window on the Access Privileges tab.
Below is a list of available event opportunity access privileges.
Allow Event Opportunities To Be Added
This access privilege controls who can add event opportunities. Any roles/users assigned to the privilege can add event opportunities while any roles/users not assigned to the privilege cannot add event opportunities. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can add event opportunities.
Allow Edit/Add Event Opportunities by Account Rep
This access privilege controls who can change and view event opportunity information based on the account rep assigned to the event opportunity account. Roles/users are assigned security privileges in two parts - Assign Access Privileges and Assign Details. When a role/user is assigned to the privilege, Assign Details defaults to all account reps. To limit access to selected account reps, right-click on the assigned role/user and select Assign Details to access the Assign Details screen.
If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can access all event opportunity information. If a role/user is assigned (activating the access privilege), all unassigned roles/users cannot change or view any event opportunity information, even event opportunities where the user is the account rep. Roles/users with view-only access can view event opportunity information but cannot change it.
Allow Edit/Add Event Opportunities by Event Opportunity Status
This access privilege controls who can add or edit event opportunities by checking the assigned event opportunity status level for the role/user and comparing it to the status of the event opportunity. You can assign each role/user a status level and the role/user can add or edit event opportunities with status levels equal to or below the assigned status level. For example, a role/user with a status level of 30 can add or edit event opportunities with a status of 30 or lower. A blank value or no value is the same as not assigning the role/user to the privilege. If a role/user is not assigned to the privilege, then the role/user cannot add or edit any event opportunity regardless of the status level of the event opportunity. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can add or edit any event opportunity.
Edit Event Opportunities by Satellite Office Rep
This access privilege controls can edit event opportunities based on the satellite office rep assigned to the event opportunity. Roles/users are assigned security privileges in two parts - Assign Access Privileges and Assign Details. When a role/user is assigned to the privilege, Assign Details defaults to all satellite office reps. To limit access to selected satellite office reps, right-click on the assigned role/user and select Assign Details to access the Assign Details screen.
If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can edit all event opportunities. If a role/user is assigned (activating the privilege), all unassigned roles/users cannot edit any event opportunity information, even event opportunities where the user is the satellite account rep. Roles/users with view only access can see event opportunity information but cannot change it. Event opportunities without satellite offices assigned to them are not subject to the security, and any roles/users can edit them.
View Event Opportunities by Satellite Office Rep
This access privilege controls who can view event opportunity information based on the satellite office rep assigned to the event opportunity. Roles/users are assigned security privileges in two parts - Assign Access Privileges and Assign Details. When a role/user is assigned to the privilege, Assign Details defaults to all satellite office reps. To limit access to selected satellite office reps, right-click on the assigned role/user and select Assign Details to access the Assign Details screen.
If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can view any event opportunity. If a role/user is assigned (activating the privilege), all unassigned roles/users cannot view event opportunities. Those assigned to the privilege can only view event opportunities for the satellite office reps they are assigned. Event opportunities without satellite offices assigned to them are not subject to the security, and any roles/users can view them.
Allow Edit of Event Opp Diary Entries By Other Authors
This access privilege controls who can edit event opportunity activities created by users other than themselves. Any roles/users assigned to the privilege can edit event opportunity activities entered by other users while any roles/users not assigned to the privilege cannot edit event opportunity activities entered by users other than themselves. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users have access to all event opportunity activities regardless of the user who created the activity.
Allow Viewing of Privileged Diary Entries on Event Opp
This access privilege controls who can view privileged activities on an event opportunity. Any roles/users assigned to the privilege can view privileged activities on an event opportunity while any roles/users not assigned to the privilege cannot view privileged event opportunity activities. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can view all event opportunity activities, privileged or otherwise.
Allow Edit of Event Opportunity Notes By Other Authors
This access privilege controls who can edit event opportunity notes created by users other than themselves. Any roles/users assigned to the privilege can edit event opportunity notes entered by other users while any roles/users not assigned to the privilege cannot edit event opportunity notes entered by users other than themselves. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can edit all event opportunity notes regardless of the user who created the event opportunity note.
Allow Event Opportunity Folder Entry Access By Sensitivity
This access privilege controls who can access event opportunity documents based on the sensitivity assigned to the document. Any roles/users assigned to the privilege can access event opportunity documents up to and including the sensitivity level assigned to them while any roles/users not assigned to the privilege cannot access event opportunity documents. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can access all event opportunity documents.
Allow Date Booked Change on Firm Event Opportunities
This access privilege controls who can change the Date Booked field for Firm event opportunities. A Firm event opportunity is an event opportunity with a status between 30 and 79. Any roles/users assigned to the privilege can change the Date Booked field after the event opportunity is assigned a status between 30 and 79. Any roles/users not assigned to the privilege cannot change the Date Booked field on any Firm event opportunity. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can change the Date Booked field on any Firm event opportunity.
The Date Booked field is always editable for event opportunities with a status less than 30 or greater than 79.
Allow Access to Event Opportunity Concessions
This access privilege controls who can add, change and delete Event Opportunity Concessions and who can view the Concessions Master screen. Any roles/users assigned to the privilege can add, change and delete Event Opportunity Concessions and can view the Concession Masters screen if the Value field is set to ALL. To allow only view access to Event Opportunities Concessions and the Concession Masters screen, enter VIEW in the Value field for the role/user. If there is no value entered into the Value field, the role/user does not have access to Event Opportunity Concessions or the Concession Masters screen. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can add, change, delete and view Event Opportunity Concessions and the Concessions Master screen.
Allow Add/Edit/Delete of Concessions by Event Opportunity Status
This access privilege controls who can add, edit, and delete concessions from the Edit/Add Event Opportunity screen by checking the assigned event opportunity status level for each role/user and comparing it to the status of the event opportunity. You can assign each role/user a status level and the role/user can add, edit and delete event opportunities with status levels equal to or below the assigned status level. For example, a role/user with a security level of 30 can add, edit and delete concessions on event opportunities with a status of 30 or lower. A blank value or no value is the same as not assigning the role/user to the privilege. If a role/user is not assigned to the privilege, then the role/user cannot delete any event opportunity regardless of the status level of the event opportunity. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can add, edit and delete concessions on any event opportunity.
Allow Viewing of Event Opportunity Distribution List
This access privilege controls who can view the distribution list on an event opportunity. Any roles/users assigned to the privilege can view the distribution list for an event opportunity while any roles/users not assigned to the privilege cannot view event opportunity distribution lists. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can view event opportunity distribution lists.
Allow Delete Event Opportunities by Account Rep
This access privilege controls who can delete event opportunities based on the account rep assigned to the event opportunity account. Roles/users are assigned security privileges in two parts - Assign Access Privileges and Assign Details. When a role/user is assigned to the privilege, Assign Details defaults to all account reps. To limit access to selected account reps, right-click on the assigned role/user and select Assign Details to access the Assign Details screen.
If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can delete all event opportunities. If a role/user is assigned (activating the privilege), all unassigned roles/users cannot delete event opportunities, even event opportunities where the user is the account rep.

Allow Cancelling of Event Opportunities
This access privilege controls who can cancel event opportunities. Any roles/users assigned to the privilege can cancel an event opportunity while roles/users not assigned to the privilege cannot cancel an event opportunity. If no roles/users are assigned to the privilege, it is considered inactive, and no roles/users can cancel event opportunities.
Allow First Issued Date Change on Event Opportunities with Bulletins
This access privilege controls who can change the First Issued Date field on the Edit/Add Event Opportunity screen for event opportunities that have one or more bulletins attached to them. Any roles/users assigned to the privilege can change the First Issued Date field if event opportunity has at least one bulletin attached to it. Any roles/users not assigned to the cannot change the First Issued Date field on any event opportunity that has a bulletin. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users can change the First Issued Date field on any event opportunity regardless of the event opportunity having a bulletin. The First Issued Date field is always editable for event opportunities with no bulletins.

Is there a scenario that I can allow a role to have access to meetings, open up the meeting window and view the information, but not make any changes?

You can set up the access privilege "Add/Edit/Delete Meeting by Meeting Status." This works the same as Add/Edit/Delete Events by Event Status. Roles can then be assigned to the access privilege.
