You use access privileges to control the information roles/users can add, edit, delete or view. You use access privileges in conjunction with access management. Proceed cautiously before making changes to any access privileges as any changes may have an impact on other users in your system.
You can change invoice access privileges from either the Access Privileges screen on the Main Menu or from the Accounts Receivable Configuration screen on the Access Privileges tab.
Below is a list of available invoicing access privileges.
Allow Change of Bill-to Contact on Invoice
This access privilege controls which users can change the bill-to contact on an invoice. Any role/user assigned to this privilege can change the invoice bill-to contact while those roles/users not assigned to this privilege cannot change the invoice bill-to contact. If no roles/users are assigned to this privilege, it is considered inactive, and no roles/users can change the invoice bill-to contact.
Allow Change of Due Date on Invoices
This access privilege controls which users can change the invoice due date. Any role/user assigned to this privilege can change invoice due dates while those roles/users not assigned to this privilege cannot change the invoice due date. If no roles/users are assigned to this privilege, it is considered inactive, and no roles/users can change the invoice due date.
Allow Voiding of Invoices
This access privilege controls which users can void invoices. Any role/user assigned to this privilege can void an invoice while those roles/users not assigned to this privilege cannot void invoices. If no roles/users are assigned to this privilege, it is considered inactive, and no roles/users can void invoices.
Create/Print Invoices
This access privilege controls which users can create and print invoices. Any role/user assigned to this privilege can create and print invoices while those roles/users not assigned to this privilege cannot create and print invoices. Any role/user assigned to this access privilege can also reprint invoices regardless of whether the role/user is assigned to the Reprint Invoices access privilege. However, if a role/user is not assigned to this access privilege but is assigned to the Reprint Invoices access privilege, then the role/user can reprint invoices. If no roles/users are assigned to this privilege, it is considered inactive, and all roles/users can create and print invoices.
Mass Print Invoices
This access privilege controls which users can mass print invoices (print multiple invoices at one time). Any role/user assigned to this privilege can mass print invoices while those roles/users not assigned to this privilege cannot mass print invoices. If no roles/users are assigned to this privilege, it is considered inactive, and all roles/users can mass print invoices.
Member Billing – Invoice Membership Orders
This access privilege is used to control which users can invoice membership orders. Roles and users are assigned security privileges in two parts – assigning the role/user to the access privilege and then assigning the role/user to the departments the user/role has access. When a role/user is assigned to this access privilege, the role/user is assigned to ALL departments by default. To limit access to selected departments, right-click on the assigned role/user and select Assign Details to access the Assign Details screen.
If no roles/users are assigned to this access privilege, it is considered inactive, and all roles/users have access to all order departments' membership orders. If a role/user is assigned (activating the access privilege), all unassigned roles/users cannot invoice any order departments’ membership orders.
Order Departments are entered on each Membership Standing Order.
Reprint Invoices
This access privilege controls which users can reprint invoices. Any role/user assigned to this privilege can reprint invoices while those roles/users not assigned to this privilege cannot reprint invoices. If no roles/users are assigned to this access privilege, it is considered inactive, and all roles/users can reprint invoices.
