Once a Bulletin has been approved:
- From the Bulletin window, search for the Bulletin needed and select it.
- Under the Reports menu, select “Reports.”
- Select “Bulletin Report” and click OK.
- On the Bulletin Report window, choose "Via Email to Account/Contact" from the Send drop-down menu.
Options Tab:
- Show Event Information - If checked, the event information will be included on the report/bulletin. This includes preferred and alternate dates, meal functions, total attendance, etc.
- Show Room Forecast - If checked, the room forecast information will be included on the report/bulletin.
- Show Former/Future Events - If checked, any former or future scheduled events will be included on the report.
- Show Client Information - If checked, client information will be included on the report/bulletin.
- Show Site Selection - If checked, the site selected will be included on the report/bulletin.
- Show Response - If checked, the responses of each account will be included on the report/bulletin.
- Click OK or Run Report.
- The Select Distribution window will open. Multi-select the accounts/contacts that should receive the bulletin.
- Click the Select button.
- The Email window will open, with the recipient email addresses autofilled.
- Enter the following information as needed:
- Select a CC if desired.
- If not using an email template, enter an email subject and body text.
- If using an email template, open the Additional Information tab.
- Select the email template from the drop-down menu.
- Change the From Email and From Name is needed.
- High Importance - If checked, this email will be delivered with a status of High Importance.
- Activity Type - Choose the appropriate activity type from the drop-down menu.
- BCC - Select a BCC if desired.
- BCC Me - If checked, the sender will be BCC’d on the email.
- Send email as…: Select from the drop-down menu if the emails should be sent as separate, individual emails to each recipient, or one mass, shared email.
- Click OK to send.
