When working with opportunities, you can use the Stage field to track how the opportunity progresses through the sales process. Common stages are: Lead, Interested an Proposal. You can configure different opportunity stages for the different types of opportunities (Event Sales, Membership, etc.).
Add an Opportunity Stage
- Click the Opportunity Stage link for the appropriate designation (Event Sales, Membership, etc.) from the Main Menu. The Opportunity Stages page opens.
- Click the Add button. The Add Stage window opens.
- Enter the following information:
- Description - Name of the stage.
- Display Seq - Numeric value to determine the order the stage displays in the drop-down.
- Text Color - Text color when the stage displays in drop-downs and screens throughout software.
- Background Color - Background color when the stage displays in drop-downs and screens throughout the software.
- Status - Only active stages are available for selection in the Stage drop-down.
- Click OK.
Change an Opportunity Stage
You can change the information for a stage after you have created it. When you change the information for a stage, it updates wherever the stage is used. If you don't want to update the already existing stage data, then you must add a new stage using the steps in Add an Opportunity Stage.
- Click the Opportunity Stage link for the appropriate designation (Event Sales, Membership, etc.) from the Main Menu. The Opportunity Stages page opens.
- Select the stage to edit.
- Right-click and select Edit. The Edit Stage window opens.
- Update the information.
- Click OK.
Inactivate an Opportunity Stage
If you no longer use a stage but want to keep record of it for reporting or other purposes, you can make it inactive. When you make a stage inactive, it is no longer available for selection in the Stage drop-down.
- Click the Opportunity Stage link for the appropriate designation (Event Sales, Membership, etc.) from the Main Menu. The Opportunity Stages page opens.
- Select the stage to make inactive.
- Right-click and select Edit. The Edit Stage window opens.
- Select Inactive from the Status drop-down.
- Click OK.
Delete an Opportunity Stage
If you no longer use a stage and don't want to keep a record of it, you can delete it. When you delete a stage that is used, you receive a prompt to select a stage to replace the stage you are deleting. You cannot undo the delete or delete and replace process.
- Click the Opportunity Stage link for the appropriate designation (Event Sales, Membership, etc.) from the Main Menu. The Opportunity Stages page opens.
- Right-click on the stage to delete.
- Select Mark for Delete.
- Click the Save button. If the stage is used, the Replace window opens.
- Select the stage from the drop-down to replace the deleted stage.
- Click OK.
