These below instructions assume you:
- Use a standard badge report. If you use a custom badge report and it is available on the Registrants Report List, you can use the below instructions but you need to select the custom report in step 7.
- Have configured the items that need a badge.
- Have configured the badge template.
To print registrant badges:
- Click the Events link from the Main Menu. The Events screen opens.
- Select the event with the registrant badges to print.
- Right-click and select Edit -> Edit. The Edit Event screen opens.
- Select the Order Registrants tab.
- Select the registrants for the badges you want to print. Use Ctrl+Click or Shift+Click to select multiple registrants.
- Right-click and select Reports. The Registrant Reports screen opens.
- Select the Name Badges report (report ID CEM601).
- Click the Select button. The Name Badges report prompt opens.
- Select your desired options:
- Report Format - Select the order you want to print the badges: By Name, By Postal Code, By Account Code or By Order
- Set Print Flag on Order(s) - If checked, the Print field for the registration order is set to Yes.
- Click OK. If printing badges for multiple registrants, the badges are sent directly to the printer. There is no print preview option for printing multiple badges at one time. See Preview Badges Before Printing for details on how to configure the system for a preview option.
Preview Badges Before Printing
If you want to preview badges before you print them, and you print badges with a Crystal Report from the Order Registrants screen, you can install a virtual PDF printer. You can print the badges to a PDF file, preview the file, then print the PDF to the physical printer.
To do this, you need to install a virtual PDF printer if you do not already have one. There are a number of free options to choose from (see http://en.wikipedia.org/wiki/List_of_virtual_printer_software) but CutePDF is common and easy to use.
Once you install the virtual PDF printer, you can print to the virtual PDF printer rather than the physical printer. You can review the badges and if they are correct, you can print the PDF to the physical printer.
