Before starting on the configuration for your online registration, you should consider the following:
- Registration Defaults - This allows you to default the price list, dictionary, sign-in configuration, etc. for all new registration configurations. You can change these defaults at for an event, if needed.
- Registrant Types - Registrant types are used to define different groups of registrants. For example: Adult, Child, Member, Non-Member, Silver, Gold, Platinum.
- Custom Fields - If you need to gather information from the registrants beyond the standard fields, you can use custom fields.
- Promo Codes - Use promo codes to allow registrants to enter a code to receive an amount or percentage discount on the items they are ordering.
- Web Skin - Controls how your online registration page(s) looks to your attendees with Web Skins.
- Form Template - Controls the information that displays on the online registration page(s).

Registration Timer - A timer displays on the online registration web page to indicate how long registrants have to complete the registration. This is how long the items the registrant has selected are reserved. Use organization parameter ER 950 to adjust the timer length in minutes.
The Registration Setup screen is the central screen used to configure the registration for your event. To access the Registration Setup screen:
- Click the Events link from the Main Menu. The Events page opens.
- Select the event to configure registration.
- Right-click and select Tools -> Registration Setup. The Add Registration Setup window opens.
See below for details on the available fields on the Registration Setup screen.
- Capacity – Registration - Determines if there is a limit how many people can register.
- Unlimited – No capacity on registration.
- Limited - There is a capacity set on registration. Enter the numerical value for the limit into the field that appears next to the drop-down.
- Waitlist Capacity - Registration - Determines if there is a waitlist available.
- No Waitlist - There is no waitlist available.
- Unlimited - There is no limit to the number of registrants on the waitlist.
- Limited - There is a waitlist limit. Enter a numerical value for the waitlist limit into the field that appears next to the drop-down.
- Require Sign-In - Determines when registrants must sign-in:
- Before Registration Form - Registrants must sign in before seeing any registration options.
- Before Submission - Registrants can go through the registration process and sign in before submitting the registration.
- Custom Registrant Fields - Custom fields for registrants for the event. Registrant custom fields allow you to ask the same question(s) to each individual registrant. For example, asking if someone has a seating preference for a dinner event. The registrant's responses are saved with the registrant.
- Custom Order Fields - Custom fields for registration order information for the event. Order custom fields allow you to ask a question where the answer is the same for all registrants on the order. For example, if you want a copy of the invoice mailed to you. The information is saved with the registration order.
- Custom Guest Fields - Custom fields for guest registrants for the event. Guest registrant custom fields allow you to ask the same question to each guest registrant. For example, asking if the guest has a seating preference for a dinner event. The guest registrant's responses are saved with the guest registrant.
More Settings Section
- Enable Registration Approvals - If checked, you must approve registrants in the software before you can check them in. See Registrant Approvals for more information.
- Registrant Default Approval Level - This is the approval level that a registrant will come in as.
- Show Registrant Approval Level - Check this to show the approval level of the registrant in public-facing registration when editing an order.
- Allow Roommates - Checking this will allow you to set a room capacity in Housing.
- Default Payment Plan - Payment plan to assign to registration orders if no payment plan is configured in the Payments Group of the Registration Form Template. If a payment plan is configured in the Payments Group of the Registration Form Template, the order is assigned the payment plan selected in the drop-down if only one is configured or the payment plan selected by the registrant if multiple are available.
Pricing Tab
- Price Lists - Click the hyperlink to select the available prices lists for registration for the event.
- Price - Click the Configure hyperlink to configure the default registrant type pricing. If you do not add a Registrant Type in the Registrant Type section, the default registrant type is used and priced based on the pricing set here.
- Prompt for promo code in back office registration - If checked, a prompt displays for a promo code when a registration order is added in back office.
- Show promo code on initial page - If checked, a promo code field displays on the first registration page after sign-in in public-facing registration.
- Early Price Deadline - Registration orders entered on or before the entered date use the Advanced Price.
- Standard Price Deadline - Registration orders entered on or before the entered date use the Standard Price. If a date is entered for Early Price Deadline, registration orders entered after the Early Price Deadline and on or before the Standard Price Deadline use the Standard Price. Registration orders entered after the Standard Price Deadline use the Late Price.
Registrant Types Section
You use the Registrant Types section to add, edit and view the registrant types for the event. See Registrant Types for additional information.
Registration Functions Section
You use the Registration Functions section to add, edit and view the registration functions for the event. See Registration Functions for more information.
Add-On Item Section
You use the Add-On Items section to add, edit and view add-on items for the event. Add-on items are items that are connected to an order but not to a registrant, such as parking passes. See Add-On Registration Items for more information.
Merchandise Section
You use the Merchandise section to add, edit and view the merchandise (e.g., t-shirts, cups, books, etc.) for the event. See Add Merchandise to Registration for more information
Promo Codes Section
You use the Promo Codes section to add, edit and view the promo codes for the event. See Promo or Discount Codes for more information.
Registration Form Setup Tab
You use the Registration Form Setup Tab to configure additional options available, the order of the web pages and what displays on those web pages during public facing registration. You can create multiple registration forms if needed. For example, you may create separate registration forms for members and non-members or for students and faculty.
- Registration Starts - Date and time registration opens for the event.
- Registrant Type - Registrant type(s) the registration form applies to. This is used if you want a specific registrant type on a specific form.
- Guest Registrant Type - Registrant type assigned to guests for the event.
- Maximum Registrants Per Order Account - Maximum number of registrants each order account can register. This maximum is per order. 0 means there is no maximum.
- Registration Ends - Date and time registration closes for the event.
- Price List - Price list for the registration for the event. You can set the price list per configuration and it defaults in with the default price list from the pricing tab.
- Order Status - Status of the registration order when it comes into the software from public facing registration.
Registering on Behalf of Others (Admin) Section
If you allow people to register people other than themselves during public facing registration, choose how the online registration user can add the registrants. See Register on Behalf of Others (Admin) in Online Registration for more information.
Adding Additional Registrants Section
If you allow people to register additional people online, choose how the online registration user can add the additional registrants. Note: If you set the Maximum Registrants Per Order Account to 1, the registrant cannot add additional registrants.
- Allow selecting registrant from a list of related - If checked, a drop-down is available with registrants related to the signed in online registration user. You can set the relationships used for searching in Define Registration Defaults.
- Allow searching accounts/contacts for registrant - If checked, the online registration user can search across all the accounts and contacts in the database. This is not recommended.
- Allow new account for additional registrant - If checked, the online registration user can add a new account for the registrant.
- Allow Copying of Items From Another Registrant- If checked, the online registration user is prompted to copy items from an existing registrant on the order to a new registrant.
- Registrant Search Fields - Search fields available when searching for a registrant.
- Registrant Results Fields - Fields available when the list of potential registrants displays based on the search criteria.
Guest Registrants Section
If you allow guest registration, choose how the online registration user can add the guest. See Manage Guest Relationships for more information.
- Allow selecting guest from a list of related - If checked, a drop-down is available with guests related to the signed in online registration user. You can set the relationships used for searching in Define Registration Defaults.
- Allow searching accounts/contacts for guest - If checked, the online registration user can search across all the accounts and contacts in the database. This is not recommended.
- Allow adding new account for guest - If checked, the online registration user can add a new account for the guest.
- Guest Search Fields - Search fields available when searching for a guest.
- Guest Results Fields - Fields available when the list of potential guests displays based on the search criteria.
Appearance Section
- Form Template - Form template for the public registration site. Click the Edit Form Template link to create a copy of the template and make changes to the copy. See Registration Form Templates Overview for more information.
- Exhibitor Form Template - Select the exhibitor form template, if needed. Click the Edit Form Template link create a copy of the template and make changes to the copy. See Registration Form Templates Overview for more information.
- Web Skin - Select the web skin for the online registration pages. Click the Edit Web Skin link to create a copy of the template and make any changes to the copy. See Web Skins for more information.
- Hide No Charge Labels and Zero Amounts/Totals - If checked, any registrant types, functions and/or merchandise that have no charge have the price hidden.
- Show Shopping Cart - If checked, a shopping cart is available in online registration that displays what is currently ordered throughout the registration process.
Event Details Section
- Hide Event Description - If checked, the description is hidden on the online registration pages.
- Hide Event Date - If checked, the event dates are hidden on the online registration pages.
- Hide Anchor Venue - If checked, the anchor venue is hidden on the online registration pages.
- Show Event Location - If checked, the event location(s) displays on the online Registration pages.
- Location - Google maps link to display on the online registration pages and confirmations. See Show Google Map Links for Registration Locations for more information.
Housing Section
- Enable Housing - If checked, housing is available for the event. See Configure Housing for Online Registration for information on the available fields.
Share the Web Address Section
This is the URL for attendees to register. The becomes available when you save the Registration Setup screen. Click the icon to the right of the URL to copy the URL to your clipboard.
Housing Tab
Use the Housing tab to configure the housing options (properties, rooms, capacities, etc.) available for the event. See Configure Housing for Online Registration for more information.
Housing Blocks Tab
Use the Housing Blocks tab to create registration housing blocks from event blocks.
Exhibitor Registration Tab
If using exhibitor registration, you can configure the exhibitor registration rules and registrant types in this tab. See Exhibitor Registration for more information.
Preference Types Tab
Preference Types allows you to manage communication and data storage preferences for your registrants. See Preference Types in Online Registration for more information.
Automatic Vouchers Tab
You can configure gift certificates and/or scholarship redemption using the Automatic Vouchers tab. See Gift Certificate Redemption in Public Registration for more information.
Languages Tab
Use the Languages tab to configure multiple languages for your registration event. See Online Registration in Multiple Languages for more information.
Web Links
Use the Web Links tab to add custom links with parameters in the URLs. See Custom Registration Web Links for more information.
