How do I get access to DocuSign in Enterprise?
Connect with your primary Momentus contact for pricing details.
Can I use it with contracts created using Crystal Reports and Word Merge?
You can use it with both Crystal Reports and Word documents. You can insert tags on your own or get the Enterprise Technical Services Team to make the Crystal Report or Word document into a profile/template document.
After the event, can we have a client sign a proforma invoice?
Yes, you can use electronic signatures for contracts, invoices, order confirmations or any other documents you have clients sign.
Can we cancel the document if it is not signed within a time frame?
When you set the document up for signature, you can set an expiration date. If the document is not signed by this time, the link expires, and the document cannot be signed.
Can documents be signed on a mobile device?
Yes. You can sign documents from a computer, a tablet, or a phone. This does not require Enterprise mobile.
How does a customer set up their signature so all they have to do is 'click to sign'?
If the recipient has a DocuSign account as a signer, the recipient’s signature is already 'adopted' and is automatically inserted when the recipient clicks to sign. If a recipient has never signed a DocuSign document, after they sign the first one, they are prompted to create a free account which allows the recipient to adopt the signature for future use.
Can documents be in other languages?
Absolutely. The templates (in Word or Crystal) can be in any Momentus Enterprise supported language, and when the document is sent, you can select the language of the recipient. The email and the DocuSign page appears in that recipient’s preferred language.
If a client wants to make suggested changes to the contract, does DocuSign allow for tracked changes?
There is an ability to make notes on the document through the DocuSign platform; however, it is primarily intended for final signatures and not a substitute for the redlining process. By making changes and resending the contracts, this will count as multiple envelopes.
Can I use documents outside of Enterprise for non-event related business?
Documents (or envelopes) which are part of the Momentus/DocuSign partnership are only available for use from within the system. You may have a separate account with DocuSign for non-Momentus-related business.
Do I need to send the document out to one individual or does each person send out their own document?
Each user can send their own documents. You can notify a contract administrator when the signature process is complete, and they can then retrieve the final signed version from within the application.
After a client signs and internal signatures are complete, we send a fully executed document back to the client. Can we make sure the Envelope status does not update to Complete until this is done?
Yes. Using the Signing Order functionality, Momentus Enterprise recommends making your executive (or whomever is the final signer in your organization) the last person to sign off, then all people receive a copy of the completed agreement.
Does this only work for documents created in Enterprise or does it work for documents saved in Enterprise?
This works for documents that are created or imported into Enterprise. If the document resides in the system, you can send it for signature.
Is it possible to have multiple email brandings?
Yes. Your administrator can set up multiple brands, and you can attach the brand to the profile/template or select it during sending for signature.
Can we stop someone from deleting a document after it is sent for signature?
Yes, once a document is sent for signature, it is locked and you cannot delete it.
Is there a limit to the number of pages you can send and sign?
No, there is no limit.
Can I use electronic signatures from any folder in Enterprise?
You can use electronic signatures from any folder within Enterprise: Contracts, Accounts, Service Orders, Events and many more. The document has a unique ID which ties between Enterprise and DocuSign so no matter where the document resides, the signed/executed copy is accessible from its origin.
A message displays stating “Your user does not have permission in DocuSign to send documents for electronic signatures for the account User Name (User ID#) in configuration ‘DocuSign Application Configuration Name’”.
This message means the user has provided consent in Enterprise but their DocuSign account is not connected to the account in the configuration. Speak to your system administrator to have these connected.
