You can use the Spreadsheet Reporting tool to create a tax report template that pulls amounts directly from the various financial sources into a single spreadsheet based on the configured Tax Resources and associated records. You need to have the Excel Reporting Add-In installed and connected to the site where you are creating the template.
- Click the Tax Report Template Documents link from the Main Menu. The Template Documents | Tax Reports screen opens.
- Click the Add button. The Add Template Document screen opens. If you receive shell document or file location errors, see Document Classes for more information.
- Enter the necessary information:
- Description - Name for the tax report template.
- Type - Select Spreadsheet Report.
- Active - Select Active to make it available for selection for tax reports.
- Select the Details tab.
- Enter the necessary information:
- Heading - Document heading and subheading for the document for organization purposes.
- Category - Category for the document.
- Sort - Order the document displays. (01 for first, 02 for second, etc.)
- Sensitivity - Sensitivity for the document. This can determine who is able to view and/or edit the document.
- Select the Access tab.
- Select who can access the document:
- Only Me - Only you can view and edit the document.
- Everyone - All users can view and edit the document.
- Users and Roles - Only selected users and users assigned to the selected Role(s) in the drop-down can view and edit the document.
- Click OK. Microsoft Excel opens.
- Configure the spreadsheet style and fields as desired.
Set Start and End Date Fields for a Period
- In Excel, select the cell to display the start date for the reporting period.
- Select the Momentus Reporting tab.
- Click the Cell button in the Definitions section. The Cell Definitions screen opens.
- Enter the necessary information:
- Source - Select Spreadsheet Defaults.
- Field - Select Beginning Date.
- Click OK. You return to the Excel screen.
- Select the cell to display the end date for the reporting period.
- Select the Momentus Reporting tab.
- Click the Cell button in the Definitions section. The Cell Definitions screen opens.
- Enter the necessary information:
- Source - Select Spreadsheet Defaults.
- Field - Select Ending Date.
- Click OK. You return to the Excel screen.
Set Sales Tax (VAT/GST) Amount Fields
- Select the cell to display the sales tax collected amount.
- Select the Momentus Reporting tab.
- Click the Cell button in the Definitions section. The Cell Definitions screen opens.
- Enter the necessary information:
- Date - Leave blank (00/00/00 - 00/00/00).
- Source - Select Receivables. The Receivables source calculates the tax values based on invoices.
- Field - Select Tax Amount.
- Resource - Select the first tax resource to include in the cell.
- Click the Apply button. The information saves and the screen remains open.
- Repeat steps 4 and 5 for any additional sources and/or tax resources to include in the tax amount. The most common other sources for collected sales tax is Cash Book and Journal Entry Tax Detail. Make sure you check the Reverse check box for the Journal Entry Tax Detail source so the credit entries are treated as positive amounts.
- Click OK. You return to the Excel screen.
- Select the cell to display the sales tax paid amount.
- Select the Momentus Reporting tab.
- Click the Cell button in the Definitions section. The Cell Definitions screen opens.
- Enter the necessary information:
- Date - Leave blank (00/00/00 - 00/00/00).
- Source - Select Payables. The Payables source calculates the tax values based on vouchers.
- Field - Select Tax Amount.
- Resource - Select the first tax resource to include in the cell.
- Click the Apply button. The information saves and the screen remains open.
- Repeat steps 11 and 12 for any additional sources and/or tax resources to include in the tax amount. The most common other sources for sales tax paid is Cash Book and Journal Entry Tax Detail. Make sure you check the Reverse check box for the Cash Book source so the withdrawal/payment transactions are treated as positive amounts.
- Click OK. You return to the Excel screen.
- Select the cell to display the total sales reportable.
- Select the Momentus Reporting tab.
- Click the Cell button in the Definitions section. The Cell Definitions screen opens.
- Enter the necessary information:
- Date - Leave blank (00/00/00 - 00/00/00).
- Source - Select Receivables. The Receivables source calculates the taxable amount values based on invoices.
- Field - Select Taxable Amount or Tax-Inclusive Amount if you need to report gross amount.
- Resource - Select the first tax resource to include in the cell.
- Click the Apply button. The information saves and the screen remains open.
- Repeat steps 18 and 19 for any additional sources and/or tax resources to include in the amount. The most common other sources for sales tax collected is Cash Book and Journal Entry Tax Detail. Make sure you check the Reverse check box for the Journal Entry Tax Detail so the credit entries are treated as positive amounts.
- Click OK. You return to the Excel screen.
- Select the cell to display the Total Purchases reportable.
- Select the Momentus Reporting tab.
- Click the Cell button in the Definitions section. The Cell Definitions screen opens.
- Enter the necessary information:
- Date - Leave blank (00/00/00 - 00/00/00).
- Source - Select Payables. The Payables source calculates the taxable amount values based on vouchers.
- Field - Select Taxable Amount or Tax-Inclusive Amount if you need to report gross amount.
- Resource - Select the first tax resource to include in the cell.
- Click the Apply button. The information saves and the screen remains open.
- Repeat steps 25 and 26 for any additional sources and/or tax resources to include in the amount.
- Click OK. You return to the Excel screen.
- Save the document.
- Close Excel. Make sure you check the document back in from the Template Documents - Tax Reports screen.
