Mobile Work orders is an application that allows users to view current work order information and to complete delivery of items from their mobile device.
To access mobile work orders:
- On your mobile device, click on the URL provided to you.
- Enter your Enterprise login credentials.
- Tap Sign In.
- Tap Mobile Work Orders if other applications such as Operations Tasks or Mobile Inventory are visible.
Using the Mobile Work Orders Application
The Work Orders page opens with a Work Orders tab and an Items tab where you can view your work orders and work order items as well as assign work orders and update Actuals. Tap Work Orders tab at the top of the page to view the work orders and the Items tab at the top of the page to view the work order items.
Filter the work orders and work order items to see particular orders/items, such as the ones which pertain to your department. You can filter by status, department, time, and more. To filter the page:
- Tap Filters. The Filters page displays.
- Select your desired filter(s).
- Tap Apply. The Work Orders page displays with the filter applied.
You can also sort work orders and items by time, status, location or department. Click Sort By and select the sort criteria to use.
You may prefer to use the application in dark mode. To use dark mode:
- Click the menu button in the upper left corner.
- Toggle Dark Mode to turn it on or off.
Work Orders
Tap on a work order on the Work Orders tab to open the Work Order Detail page. From this page you can view and/or add:
- Checklist - Shows the number of to do and completed work order items with a visual indicator for completion percentage. Tap View Items to open the Items page.
- Contacts - Opens a page with all contacts for the order. The number next to the Contacts label represents the number of contacts on the order.
- Notes - Opens a page with the notes for the work order and work order items. Tap Add a Note to add new notes. The number next to the Notes label represents the number of notes on the work order.
- Documents - Opens a page with all documents (event, function, and order) attached to the work order. The number next to the Documents label represents the number of documents on the work order.
- Photos - Allows you take a picture of the completed work and add the photo to the work order as a document. You can upload a photo from your phone (tap Choose Files) or take a photo. To take and save a photo:
- Tap Open Camera. The camera preview displays.
- Tap Take Photo.
- Tap Save to save the photo for the work order.
- Signature - Allows you to collect a signature from a customer to acknowledge delivery. Collected signatures are stored in the work order documents in PDF format. To collect a signature:
- Tap Collect Signature. The Collect Signature page opens.
- Enter the customer's full name and tap Next. The field defaults to the Order Contact if available.
- Allow the customer to enter his/her signature.
- Tap Save. You return to the Work Order Detail page.
Assign Work Orders
You can assign a work order to yourself or to someone else. To assign a work order:
- On the Work Orders page, tap the Unassigned link.
- Tap Assign to Self to assign the work order to yourself or select another user from the Assign to Other User section and tap Assign To Individual.
Work Order Items
Tap on the Items tab to view all the work order items to complete for the day. Tap an item in the list to open its Edit Item page where you can enter the completed quantity for the item, view and add item notes, and add and edit Actuals. The Edit Item page can also be reached from the item's Work Order.
Items Page
Open the Items page from either the Items tab or the item's Work Order page. The Items page has a To Do tab and Completed tab. The To Do tab shows open items and the Completed tab shows completed items.
- To complete an item from the To Do tab:
- With the same ordered quantity:
- Tap the radio button next to the item. The item moves to the Completed tab.
- Tap Save.
- With a different ordered quantity (not available for package detail items to maintain package ratios):
- Tap the pencil next to the item. The Edit Item page opens.
- Enter the completed quantity in the Entry Units field.
- Tap Save. The item remains on the To Do tab.
- Tap the radio button next to the item. The item moves to the Completed tab.
- Tap Save.
- With the same ordered quantity:
- Tap the Edit button next to an item to view and/or add notes for an item.
- To add additional actuals for an item:
- Tap the Add Actual button. The Add Actual page opens.
- Enter the item for the actual from the Item field.
- Enter the number of actual units into the Units Delivered field.
- Tap Save.
View, Edit, and Delete Actuals
On the Work Order Item details page you can view, edit, and delete actual records within Mobile Work Orders. Click Edit/View Actuals to open the View Actuals page.
Edit Actuals
- From the View Actuals page, click the pencil icon to open the Actual record.
- Note: The ability to edit actuals is controlled by an Access Privilege. If you do not see the pencil icon, speak to your administrator.
- In the Edit Actuals flyout, edit units, start/end dates, and start/end times as needed.
- Once all edits have been made, click Save. You are returned to the View Actuals page.
Delete Actuals
If you wish to delete the entire Actual record:
- From the View Actuals page, click the pencil icon to access the Actual record.
- Note: The ability to edit actuals is controlled by an Access Privilege. If you do not see the pencil icon, speak to your administrator.
- In the Edit Actuals flyout, click Delete.
- In the pop up, confirm that you wish to delete the Actual.
