You can configure the software to automatically promote registrants from the waitlist to full registrant. To configure registration waitlists, see Registration Waitlists.
To configure automatic waitlisting:
- Activate Automatic Waitlist (only done once)
- Enable Automatic Waitlist on the Event
- Use Automatic Waitlist
Activate Automatic Waitlist
First, you need to enable automatic waitlisting for your organization. You only need to do this step one time.
- Click the Organizations from the Main Menu. The Organizations screen opens.
- Select the organization to enable automatic waitlisting.
- Right-click and select Tools -> Organization Parameters. The Organization Parameters screen opens.
- Select organization parameter ER (application) 930 (code).
- Right-click and select Edit. The Edit Organization Parameter screen opens.
- Enter Y into the Value field.
- Click OK.
Enable Automatic Waitlist on the Event
Once you have enabled automatic waitlisting for your organization, you need to enable it on the event. You need to do this for each event that needs to use automatic waitlisting.
- Click the Events link from the Main Menu. The Events screen opens.
- Select the event to enable automatic waitlisting.
- Right-click and select Tools -> Registration -> Registration Setup. The Registration Setup screen opens.
- Expand the More Settings section.
- Check the Automatically Promote Registrants on the Waitlist check box.
- Select the Registration Waitlist Settings tab.
- Select the necessary information:
- Automatically Promote Registrants on the Waitlist - Event Autowaitlist Configuration - If checked, registrants are automatically moved from the waitlist to an active status if room becomes available in the event. Checking this makes additional fields on the tab required.
- Sent from Email - Waitlist - From email address for the promotion email.
- Promotion Email Template - Waitlist - Email template used to send an email to the registrant when the registrant is promoted from the waitlist status.
- Waitlist Promotion Status - Status for the registrant when he/she is moved from a waitlist status.
- Bcc Email - Waitlist - Email address(es) blind carbon copied on the promotion email.
- Crystal Report - Waitlist - Crystal Report attached to the promotion email.
- Click OK.
Use Automatic Waitlist
After automatic waitlisting is turned on for an event, you do not need to manually promote waitlisted registrants. This process happens automatically when the following actions take place:
From the Back Office
- Cancel order with one registrant
- Cancel order with multiple registrants
- Cancel registrant
- Cancel item
- Delete registrant from order
- Delete multiple registrants from order
- Delete order with one registrant
- Delete order with multiple registrants
Public Registration (Edit Order mode)
- Remove registrant
- Cancel order

Hi,
I can't find the checkbox for enabling automatic promotion of registrants on the waitlist. I've searched the Layout, but I can't add this field as it doesn't exist. How can I allow automatic waitlist for an event otherwise?

The field should be visible on the Registration Setup window. If you don't see it on this window (or in the Edit Layout for this window) then your organization may not be licensed for Automatic Waitlisting and should reach out to your CSM or account manager. This is an add-on feature and is not part of the base registration module.
