Room Flow is used to collect forecasted hotel room requirements for each new opportunity. There are two versions of Room Flow within Momentus Enterprise: Room Flow and Guest Room Flow. Both of these allow you to gather and store the requirements for accommodation, and add the details to the Event Opportunity Flow.
The flow tab displays information if there are dates in the Housing Dates fields on the Add/Edit Event Opportunity window. The system automatically generates a room flow for one record per day for every day between the housing start date and the housing end date. To populate the room flow fields, an event needs to be created from the event opportunity, and the housing details entered. See Housing Overview for more information.
Click the link below for the tab which appears on your Event Opportunity layout. If you see both of these options on your layout, only one of these will be active. Check with your System Administrator to have the inactive room flow removed. The version available to you is based on the the license you have.
Manage Guest Room Flow
To manage the Guest Room Flow in an Event Opportunity:
- Navigate to the Event Opportunities page and click on the Guest Room Flow section.
- Add the number of rooms in the Requested field.
- Click OK.
Add Guest Room Flow Dates
To add extra dates to the Guest Room Flow:
- Navigate to the Event Opportunities page and select the Advanced section.
- Change the Housing Dates to extend or reduce the days rooms are required.
- Click OK.
Remove Guest Room Flow Dates
To delete Guest Room Flow dates you no longer need:
- Navigate to the Event Opportunities page and select the Guest Room Flow section.
- Highlight the dates you need to delete.
- Right-click and select Mark for Delete.
- Select OK.
Manage Room Flow
To manage an event opportunity's room flow information:
- Navigate to the Event Opportunities page and click on the Room Flow section.
- Right-click and select Tools > Manage Event Opportunity Flow.
- In the Room Flow Roll-Up field, select: (you may need to add this to your layout using Edit Layout)
- Yes: The Flow tab becomes not editable, and the totals from all hotels on the Distribution tab are the flow numbers on the event opportunity. These numbers are also used for the Peak and Total Blocked room fields on the Event Opportunity - General tab. If numbers have already been entered into the Flow fields below, these values are overwritten when Yes is selected and saved.
- No: The flow numbers are entered manually and the Flow tab is editable.
- If Yes is selected in step 4, click OK. The process is complete. If No is selected, proceed to step 5.
- Enter the desired information for each day:
- Rooms Requested: Number of rooms requested for the day.
- Rooms Option: Number of rooms offered for the day.
- Rooms Blocked: Number of rooms provided for the day.
- Rooms Pick Up: Number of rooms actually used for the day.
- Click OK.
Blocked % and Pickup % are calculated based on the percentage of blocked and pickup rooms each night compared to the highest single-day amount entered for the event opportunity. For example, if the highest single day total of blocked rooms for the event opportunity is 200 and one of the days has a blocked total of 50, the Blocked % displays 25% (50/200*100) for the day having 50 blocked rooms.
Add Room Flow Dates
To add Room Flow Dates:
- Navigate to the Event Opportunities page and select the event opportunity with the room flow which needs to be updated.
- Right-click and select Tools > Manage Event Opportunity Flow. The Manage Event Opportunity Flow window opens.
- Select the Flow tab.
- Right-click and select your desired option:
- Insert Earliest Date: Inserts a new row before the earliest date.
- Insert Latest Date: Inserts a new row after the last date.
- Insert Specific Date: Opens the Add Event Opportunity Flow Pattern screen where you can enter a specific flow date.
- Click OK.
Remove Flow Dates
To remove Room Flow Dates:
- Navigate to the Event Opportunities page and select the event opportunity with the room flow.
- Right-click and select Tools > Manage Event Opportunity Flow. The Manage Event Opportunity Flow window opens.
- Select the Flow tab.
- Select the date(s) to remove.
- Right-click and select Mark for Delete.
- Click OK.
Update Housing Dates
If you change the housing dates for the event opportunity, the Event Opportunity Flow Update Prompt displays after you save the new dates. You can choose to:
- Keep only those flow dates that overlap the new date range and add dates as needed - The existing flow dates that also exist within the new date range remain and the system adds any or removes dates within the housing date range.
- Do not adjust the flow dates (only the Housing Dates will be updated) - The existing flow dates do not change and no dates are added or removed. Only the housing dates are updated.
