You can use the Availability Report to share space availability with your customers in a calendar view for a month range. The report shows the booking status and event type (optional) for bookings that are direct bookings and are not cancelled and not released.
The Availability Report shows any special calendar days across the top of the calendar day. Following any special calendar days, the bookings sort in descending order by booking status (for example, a booking status with a 30 weight displays above a booking with a 29 weight). If more than one booking exists at the same status on the same day, then the bookings sort in ascending order by event ID. The booking status weight and description display on the calendar day. If the event type check box is checked on the report prompt, it displays next to the booking status weight and description.
To run the Availability Report:
- Click the Availability Report link from the Main Menu. The Availability Report screen opens.
- Enter the information to determine what information displays on the report:
- Report Title - Name that shows at the top of the report. Defaults to Availability Report.
- Date Range - Space bookings within the specified date range show on the report. Enter the number of months prior to the current month and the number of months after the current month.
- Space - Bookings for the selected space(s) show on the report.
- Booking Status - Bookings matching the selected status(es) show on the report. Statuses within the 01-79 weight range are available for selection.
- Show Event Type - If checked, the event type for the event the space is booked for displays next to the booking status.
- Click OK to run the report and close the report prompt, or click Run to run the report and keep the report prompt open.
