You can set up your public registration to allow your registrants to cancel online. When a registrant cancels online, you can also have the registrant select the reason why he/she is cancelling. These are called Registration Cancellation Reasons.
Add a Registration Cancellation Reason
- Click the Registration Cancellation Reasons link from the Main Menu. The Reasons screen opens.
- Click the Add button. The Add Reason screen opens.
- Enter the following information:
- Description - Description that displays to the registrant when selecting the cancellation reason.
- Code - Unique alphanumeric value.
- Sequence - Determines the order the reason displays in the drop-down.
- Click OK.
Change a Registration Cancellation Reason
You can change the description and/or sequence for the registration cancellation reason after you have created it. When you change the description of a registration cancellation reason, it updates wherever the registration cancellation reason is used. If you don't want to update the already existing registration cancellation reason data, then you must add a new registration cancellation reason using the steps in Add a Registration Cancellation Reason.
- Click the Registration Cancellation Reasons link from the Main Menu. The Reasons screen opens.
- Select the cancellation reason to edit.
- Right-click and select Edit. The Edit Reason screen opens.
- Make the desired change.
- Click OK.
Inactivate a Registration Cancellation Reason
If you no longer use a registration cancellation reason but want to keep record of it for reporting or other purposes, you can make it inactive. When you make a registration cancellation reason inactive, it is no longer available for selection when cancelling a registrant online.
- Click the Registration Cancellation Reasons link from the Main Menu. The Reasons screen opens.
- Select the cancellation reason to make inactive.
- Right-click and select Edit. The Edit Reason screen opens.
- Check the Retire check box.
- Click OK.
Delete a Registration Cancellation Reason
If you no longer use a registration cancellation reason and don't want to keep a record of it, you can delete it. You can only delete registration cancellation reasons that are not assigned to a registrant. You cannot undo the delete process.
- Click the Registration Cancellation Reasons link from the Main Menu. The Reasons screen opens.
- Right-click on the cancellation reason to delete.
- Select Mark for Delete.
- Click the Save button.
Use Registration Cancellation Reasons on an Event
To configure an event to allow for registrants to cancel online and for the registrant to select a reason for cancelling, see Registration Form Templates: Sign-In Group.
Once the event is configured for cancelling registrants and cancellation reasons, a registrant can edit his/her order and cancel online. When the registrant clicks the Cancel Registrant button, a pop-up screen displays so the registrant can select a cancellation reason and enter a note for additional information. Once the registrant submits the changes to the order, the registrant is cancelled. If the registrant does not submit the order, the changes are not saved and the registrant is not cancelled.
View the Registrant Cancellation Reasons
To view the registrant's cancellation reason selection and note text within the software:
- Click the Events link from the Main Menu. The Events screen opens.
- Select the event with the registrant cancellation reasons.
- Right-click and select Edit -> Edit. The Edit Event screen opens.
- Select the Order Registrants tab.
- Show the Cancellation Reason and Cancellation Reason Text columns.
