You use the Accounts Payable Configuration screen to configure system behavior for Accounts Payable. Typically, this information is configured one time and rarely changed. It is important to understand the implications of changing any system configuration as changes can have substantial impact to how the system behaves in certain scenarios. If you need further clarification on how changing a particular system setting may impact your system, contact your regional Client Care Team.
Click the Accounts Payable Configuration link on the Main Menu to access the configuration screen. The screen has seven tabs: General, Vouchers and 1099 Values, Payments, Aging, Taxes, Multi-Currency and Access Privileges. See below for information about the options within the Vouchers and 1099 Values tab.
- Require Invoice on Voucher - If checked, the supplier invoice number is required when saving a voucher.
- Allow Selection of Received Purchase Order - If checked, purchase orders not received are available for selection on the Add/Edit Voucher screen in the Purchase Orders tab. If unchecked, no Purchase Orders tab is available.
- Enable Voucher Approvals - If checked, only approved vouchers are available for payment.
- Create one one journal entry for each - Select to create a single journal entry for all vouchers within a batch (Batch) or a single journal entry for each voucher within a batch (Voucher).
- Supplier Tax Verification - If checked, the Taxes tab is available on the Add/Edit Voucher screen and supplier taxes are automatically calculated. If unchecked, the Taxes tab is not available.
- Require Taxes - Select if you want to warn users if there are no taxes (Warn), if you want to stop users from saving if there are no taxes (Yes) or if you do not want to warn or stop users if there are no taxes (No).
- Withhold Tax If No Tax ID - If checked, a warning displays when adding a voucher if no withholding tax is added for suppliers with no tax ID.
Voucher Processing Section
- Auto Prepaid Enabled For - Select where prepaid expenses is used: None, Jobs, Events or Jobs and Events.
- Prepaid Expense Account - Click the Select hyperlink to select the GL account to use event prepaid amounts. Required if using prepaid event expenses. To change the GL account code, click the Clear hyperlink and then click the Select hyperlink.
1099 Values Section
- Generate 1099's based on Voucher Distribution - If checked, the 1099 information is stored in the voucher distribution. If unchecked, the paid amount is used for the 1099 statements.
- Payer Telephone - Telephone number for 1099 statements.
- Payer Federal Tax ID - Federal tax ID for 1099 statements.
- Payer State Tax ID - State tax ID for 1099 statements.
