You use the Accounts Payable Configuration screen to configure system behavior for Accounts Payable. Typically, this information is configured one time and rarely changed. It is important to understand the implications of changing any system configuration as changes can have substantial impact to how the system behaves in certain scenarios. If you need further clarification on how changing a particular system setting may impact your system, contact your regional Client Care Team.
Click the Accounts Payable Configuration link on the Main Menu to access the configuration screen. The screen has seven tabs: General, Vouchers and 1099 Values, Payments, Aging, Taxes, Multi-Currency and Access Privileges. See below for information about the options within the Payments, Aging and Taxes tab.
- Selection Days - Number of days from the current date the Net Date filter defaults to in the Add Payment Batch screen.
- Default Payment Method - Default payment method when creating the A/P demographics for new supplier accounts and the default payment method on the Add Payment Batch screen.
- Remittance Communication - Determines the email communication type to use when emailing remittance advices. An email address with the selected email address must exist on the supplier account. If there is no email address matching the selected communication type for the supplier, then no remittance advice is emailed.
- EFT Export Prefix - Prefix to use for the remittance reference when exporting EFT payments.
- EFT Control Location - Location of the control record when exporting EFT payments.
- Check Control Location - Location of the control record when exporting check payments.
Check Sort Sequence Section
- Check Sort Sequence - Sort sequence for printing checks.
Check Format Section
- Check Format - Check format for printing checks.
Aging Tab
- AP Aged Column 1 - 5 (Days/Label) - Enter the number of days for each aging column into the first field. Enter the label for each column into the second field.
Taxes Tab
You can configure the system to automatically add taxes to vouchers if there are no taxes configured for the supplier. To add a tax:
- Click the Add button on the Taxes tab. The Add Tax screen opens.
- Select the tax(es) to assign to the supplier. Use Ctrl+Click or Shift+Click to select multiple taxes.
- Click the Select button. The selected tax(es) display.
