Event Task Sets are used to quickly add commonly used tasks to the Event Portal. Task sets should only include general tasks. You should configure event specific tasks for each individual event. See Event Portal Configuration Overview for information about the Event Portal configuration process.
- Click the Task Sets link from the Main Menu. The Task Sets page opens.
- Click the Add button. The Add Task Set window opens.
- Enter a name for the task set into the Description field.
- Check the Active box to make the task set available for Event Portal configurations. If unchecked, the task set is inactive and not available for Event Portal configurations.
- Select the Tasks tab. This is where you add the tasks for the task set.
- Click the Add button. The Add Task window opens.
- Enter the necessary information:
- Title – Name for the task.
- Description – Additional information for the task.
- Type – Type of task to create. Additional fields display based on the type selected.
- Review – Review documents and select to approve or deny to complete the task.
- Submit – Upload requested documents to complete the task.
- External – Direct users to an external website to complete the task.
- Internal - Not applicable to Event Portal.
- Display Date Based On - Date to use to display tasks in the Event Portal.
- Display Date Offset - Number of days from the date selected in the Display Date Based On drop-down the task's display date is adjusted. For example, if the display date is based on the event's end date and you enter 3 into the Display Date Offset field, the task displays 3 days before the event's end date.
- Due Date Based On - Date to use to determine the due date for the task.
- Due Date Offset - Number of days from the date selected in the Due Date Based On drop-down the task's due date is adjusted. For example, if the due date is based on the event's start date and you enter 2 into the Due Date Offset field, the task due date is set to 2 days before the event's start date.
- Due Time Based On - Time to use to determine the due time for the task.
- High Priority – If checked, the task displays at the top of the list and is marked with high importance.
- EP Category – Event Portal category for the task.
- Note Class - Note class assigned to any comments for the task.
- Additional fields for Review tasks:
- Allow Approval - If checked, Event Portal users can approve or deny the task.
- File Upload Configuration - Select your pre-configured File Upload control to allow Event Portal users can upload documents in the Event Portal.
- Additional fields for Submit tasks:
- File Upload Configuration - Select your pre-configured File Upload control to allow Event Portal users can upload documents in the Event Portal.
- Additional fields for External tasks:
- URL - External URL Event Portal users are directed to for the task.
- Select the Documents tab. You only need to configure documents if using Review tasks. Skip to step 14 if you do not need to configure documents.
- Drag and drop the documents to review into the Documents tab.
- Select the Template Documents tab. You only need to configure template documents if using Review tasks. Skip to step 14 if you do not need to configure template documents.
- Click the Add button. The Advanced Search - Template Documents window opens.
- Select the template document(s) to add to the task. Use Ctrl+Click or Shift+Click to select multiple template documents.
- Click Select.
- Click OK.
- Repeat steps 6-14 for each task in the task set.
