You can use transaction analysis codes to provide additional reporting on journal entry details. As opposed to account analysis codes which are assigned to specific GL accounts, transaction analysis codes are assigned to specific journal entries lines. You can assign transaction analysis codes to any journal entry line, and you can assign them during purchase order and voucher entry.
Add an Transaction Analysis Code
- Click the Transaction Analysis Codes link from the Main Menu. The Transaction Analysis Codes screen opens.
- Select the transaction analysis code you want to configure (1-6).
- Right-click and select Edit. The Edit Transaction Analysis Code screen opens.
- Enter the name of the transaction analysis code into the Description field.
- Enter the name of the transaction analysis field into the Label Name field.
- Select the GL Transaction Analysis tab. You configure the options available in the transaction analysis code drop-down in this tab.
- Click the Add button. The Add GL Transaction Analysis Code screen opens.
- Enter the necessary information:
- Description - Name of the transaction analysis code drop-down option.
- Status - Only active options are available in the transaction analysis code drop-down for selection.
- Code - Unique alphanumeric code used by the system.
- Sort Sequence - Order the option displays in the drop-down.
- Click OK. You return to the Edit Transaction Analysis Code screen.
- Repeat steps 7-9 for each transaction analysis code drop-down option.
- Click OK on the Edit Transaction Analysis Code screen.
Change a Transaction Analysis Code
You can change the information for a transaction analysis code after you have created it. When you change the transaction analysis code information, it updates for the transactions where it is assigned. If you don't want to update the already existing transaction analysis code data, then you must use a new transaction analysis code using the steps in Add a Transaction Analysis Code.
- Click the Transaction Analysis Codes link from the Main Menu. The Transaction Analysis Codes screen opens.
- Select the transaction analysis code to edit.
- Right-click and select Edit. The Edit Transaction Analysis Code screen opens.
- Make the desired change.
- Click OK.
To change the drop-down value for a transaction analysis code:
- Click the Transaction Analysis Codes link from the Main Menu. The Transaction Analysis Codes screen opens.
- Select the transaction analysis code with the drop-down option to edit.
- Right-click and select Edit. The Edit Transaction Analysis Code screen opens.
- Select the GL Transaction Analysis tab.
- Select the drop-down option to edit.
- Right-click and select Edit. The Edit GL Transaction Analysis Code screen opens.
- Make the desired change.
- Click OK. You return to the Edit Transaction Analysis Code screen.
- Click OK.
Remove a Transaction Analysis Code
If you no longer use a transaction analysis code and don't want to keep a record of it, you can remove it. You cannot delete transaction analysis codes.
- Click the Transaction Analysis Codes link from the Main Menu. The Transaction Analysis Codes screen opens.
- Right-click on the transaction analysis code to remove.
- Select Edit. The Edit Transaction Analysis Code screen opens.
- Select the GL Transaction Analysis tab.
- Select the drop-down options to delete. Use Ctrl+Click or Shift+Click to select multiple options.
- Right-click and select Mark for Delete.
- Click the Save (disk) button. The Edit Transaction Analysis Code screen remains open.
- Remove the information from the Description field.
- Remove the information from the Label Name field.
- Click OK. The transaction analysis code is no longer considered in use.
Transaction Analysis Code Security
The Change Transaction Analysis Code Labels access privilege is used to control who can add, change and delete transaction analysis codes. Any roles/users assigned to the privilege can add, change and delete transaction analysis codes. If no roles/users are assigned to the privilege, it is considered inactive and all roles/users can add, change and delete transaction analysis codes.

How can we add the code to a PO, we don't seem to have the option of the field we have created?

Hi Kris -
Transaction Analysis Codes live in the PO item or Req item distribution window. To access them, go to the item level Distribution window and bring them in as columns.
