Membership was rewritten in v30.97 to use a new process. For continuity purposes, the previous Membership functionality remains available but is referred to as Legacy Membership. In v30.97 and later, membership functionality is referred to as Membership.
Membership installments are the intervals you bill the membership. For instance, a membership installment that bills monthly for a period of a year creates 12 membership orders for the membership to represent each installment.
Add a Membership Installment
- Click the Membership Installments link from the Main Menu. The Membership Installments screen opens.
- Click the Add button. The Add Membership Installment screen opens.
- Enter the necessary information:
- Description - Name for the membership installment.
- Code - Unique alphanumeric code.
- Default Billing Date - Billing date to use on the membership:
- No Default - Defaults to no billing date.
- Order Date - Defaults the first billing date to the date the order is placed.
- Period Start Date - Defaults to the membership period start date.
- Bill Installments Every - How often the installment is billed. Enter a numeric value into the first field and select the time (Year(s), Month(s) or Week(s)) from the drop-down. For example, to bill for a membership quarterly, you can enter 3 into the numeric field and select Month(s) from the drop-down.
- Discount Per Installment - If needed, discount amount for the installment. Enter the numeric amount into the first field and select if it's a percentage (Percent) or a fixed amount (Dollars) from the drop-down.
- Click OK.
Change a Membership Installment
You can change the information for a membership installment after you have created it. When you change the information for a membership installment, it does not update existing memberships where the installment is used; it only changes for memberships that use the installment moving forward.
- Click the Membership Installments link from the Main Menu. The Membership Installments screen opens.
- Select the membership installment to edit.
- Right-click and select Edit. The Edit Membership Installment screen opens.
- Update the necessary information.
- Click OK.
Inactivate a Membership Installment
If you no longer use a membership installment but want to keep record of it for reporting or other purposes, you can make it inactive. When you make a membership installment inactive, it is no longer available for selection for membership periods.
- Click the Membership Installment link from the Main Menu. The Membership Installments screen opens.
- Select the membership installment to make inactive.
- Right-click and select Edit. The Edit Membership Installment screen opens.
- Uncheck the Active check box.
- Click OK.
Delete a Membership Installment
If you no longer use a membership installment and don't want to keep a record of it, you can delete it. You cannot delete membership installments assigned to membership periods. You cannot undo the delete process.
- Click the Membership Installments link from the Main Menu. The Membership Installments screen opens.
- Right-click on the membership installment to delete.
- Select Mark for Delete.
- Click the Save button.
