You can renew memberships from the Memberships screen from the Main Menu or from the Membership tabs on the account or contact. To renew a membership:
- Click the Memberships link from the Main Menu. The Memberships page opens.
- Select the membership to renew.
- Right-click and select Renew. The Renew Membership window opens.
- Enter the necessary information:
- Period - Period for the renewal. You must have the desired period already added to the membership type.
- Membership Status - Status of the membership after renewal.
- Membership Start Date - Date the membership starts when renewed.
- First Installment Status - Status for the the first membership order in the installment.
- Order Status - Status of the membership orders after the first installment.
- If joining after start date, apply - How to charge for the membership if it is renewed after the period starts and if the membership period is a fixed-date period:
- Prorate Charges - Charges are prorated based on the month renewed. For example, if membership period is a year and begins on January 1 and the membership is renewed in March, the charges are adjusted to reflect a 10 month membership instead of 12 months.
- Charge evenly across remaining installments - Charges for previous months in the period are spread evenly across the remaining installments in the period.
- Charge full amount to first installment - Charges for the previous months in the period are charged with the first month. The remaining months are charged the normal rate for the installment.
- Installment - Membership installment for the renewal. The installment must exist for the membership period prior to the renewal.
- Select the Membership Items tab. Membership items default based on the selected Membership Type and Period. You can add additional items to the membership. Adding additional items to the membership only adds them for this member and this renewal; it does not add them to all members with the same member type or period or to all future renewals. To add additional membership items:
- Click the Add Member Items button. The Add Membership Items window opens.
- Select the items to add to the membership.
- Click the Select button. when adding a membership.
- Click Renew. The membership saves and the membership orders are created based on the installment selected. You can view the orders on the Membership Orders tab.
Undo a Membership Renewal
You may have times where you need to undo a membership renewal, like when a membership is renewed by accident or it is for the wrong membership period. To undo a membership renewal:
- Click the Memberships link from the Main Menu. The Memberships page opens.
- Select the membership with the incorrect renewal.
- Right-click and select Edit Individual Membership or Edit Group Membership. The Edit Individual Membership or Edit Group Membership window opens.
- Select the History tab.
- Select the period you want to revert to.
- Right-click and select Set as current period. This updates the period on the membership to the selected period.
- Select the period to remove.
- Right-click and select Mark for Delete.
- Click the Save (disk) button. The period and associated orders are deleted. Regular order processing validation rules occur so if the order is closed or invoiced, you must void the invoice and reopen the order before you can delete it.
