Mobile Inventory is an application that allows your staff to search for items, create inventory transactions, and complete physical counts from their mobile devices.

To access mobile inventory:
- Click on the URL provided to you on your mobile device.
- Enter your login credentials.
- Tap the Sign In Button.
- Tap Inventory if your user credentials allow access to multiple applications such as Operations Tasks or Mobile Work Orders. The Main Menu becomes available.
Based on the mobile inventory configuration, the following options are available on the Main Menu:
- Item Lookup - Scan a barcode or manually enter a barcode number or item code to find an item.
- Physical Counts - Entries created from the mobile inventory application relating to physical counts display in the Physical Count Batch the item is associated with. These transactions do not automatically post. Momentus recommends reviewing the physical count batch in back office and posting when ready.
- Transactions - Transactions made in the mobile inventory application coincide real-time with inventory balances and transactions occurring in the software.
- Completed inventory transactions are posted inventory transactions.
- Uncompleted transactions are unposted inventory transactions.
- PO Receive - Items received in full from the mobile inventory application results in closing the purchase order items and purchase orders in the software.
You can also use the mobile inventory application with a scanning device compatible with the mobile device the application is used on. The mobile inventory application does not allow the use of the mobile device’s camera for QR scanning for the item.
To use dark mode:
- Click the menu button in the upper left corner.
- Toggle the Dark Mode button to turn it on or off.
Item Lookup
You can use Item Lookup to scan a barcode or manually enter a barcode number or item code into the search field.
- Tap Item Lookup from the Main Menu of mobile inventory. The Barcode Look Up page opens.
- Scan or manually enter the barcode or internal item code into the Barcode search field.
- Click the Look Up Barcode button. The item details page appears for the item where you can view the following information:
- Location(s)
- Picture
- Current balance
- Current price
- Department
- Primary Supplier
- Sub Location
- Documents
- Notes
Physical Counts
You use Physical Counts to enter your physical counts from the mobile application. You must create the physical count batch from the internal software.
- Tap Physical Counts from the Main Menu of mobile inventory. The Physical Counts page opens.
- Tap the batch for the physical count.
- If the batch consist of multiple spaces, select the space for the physical count and tap Continue. The Count Batch page opens with the To Do tab selected.
- Use the Search bar to scan items or manually enter the barcode or inventory code to find the item for the count.
- Tap the Item for the count. The Item Count page opens.
- Tap into the Quantity box.
- Enter the quantity for the count.
- Select the unit of measure from the Unit of Measure drop-down.
- Tap Save. After the item is saved, it moves from the To Do tab to the Completed Items tab.
- Repeat for each item in the batch.
- Tap the Completed tab to review the items. If any items are incorrect, tap the item to enter additional counts.
After you complete entering all the counts, log into the internal software to review the full batch, ensure accuracy, and post the batch.
Transactions
You use Transactions menu to process any inventory transactions. You can process issues, restocks, transfers, receipts, returns, adjustments, and check ins/outs.
Issue
To create an issue transaction:
- Tap Transactions from the Main Menu of mobile inventory. The Inventory Transactions page opens.
- Tap Issue. The Issue Transactions page opens with a To Do tab and a Completed tab. The To Do tab shows all open batches. The Completed tab shows batches completed from the Mobile Inventory application.
- Tap the Add New Batch button or an existing batch. If you add a new batch, proceed to the next step. If you select an existing batch, skip to step 5.
- Enter the following on the New Batch page:
- Batch Name - Description for the batch.
- Choose Date - Date for the inventory transaction.
- Space - Select the space if all items in the batch are for the same space.
- Click Next. The Batch Detail page opens.
- Skip to step 6.
- Tap Add New Items. The Batch Detail page opens.
- Select the following:
- Event/Job - Event/Job for the inventory transaction.
- Department - Department for the inventory transaction.
- Space - Defaults to the space selected for the batch.
- Click Save. The Scan Items page opens.
- Scan or manually enter the barcode(s) or internal item code(s) into the field.
- Tap the plus sign.
- Enter the quantity for the item.
- Repeat steps 8-10 to continue adding items as needed to the batch.
- Tap Save when complete. You return to the Batch page.
- Review each item in the batch.
- Select to:
- Cancel - Return to the Issue Transactions page. Select this if you are not ready to post the batch.
- Save and Complete - Save the batch and post it in the software. Select this when the batch is finalized.
Restock
To create a restock transaction:
- Tap Transactions from the Main Menu of mobile inventory. The Inventory Transactions page opens.
- Tap Restock. The Restock Transactions page opens with a To Do tab and a Completed tab. The To Do tab shows all open batches. The Completed tab shows batches completed from the Mobile Inventory application.
- Tap the Add New Batch button or an existing batch. If you add a new batch, proceed to the next step. If you select an existing batch, skip to step 5.
- Enter the following on the New Batch page:
- Batch Name - Description for the batch.
- Choose Date - Date for the inventory transaction.
- Space - Select the space if all items in the batch are for the same space.
- Click Next. The Batch Detail page opens.
- Skip to step 6.
- Tap Add New Items. The Batch Detail page opens.
- Select the following:
- Event/Job - Event/Job for the inventory transaction.
- Department - Department for the inventory transaction.
- Space - Defaults to the space selected for the batch.
- Click Save. The Scan Items page opens.
- Scan or manually enter the barcode(s) or internal item code(s) into the field.
- Tap the plus sign.
- Enter the quantity for the item.
- Repeat steps 8-10 to continue adding items as needed to the batch.
- Tap Save when complete. You return to the Batch page.
- Review each item in the batch.
- Select to:
- Cancel - Return to the Restock Transactions page. Select this if you are not ready to post the batch.
- Save and Complete - Save the batch and post it in the software. Select this when the batch is finalized.
Transfer
To create a transfer transaction:
- Tap Transactions from the Main Menu of mobile inventory. The Inventory Transactions page opens.
- Tap Transfer. The Transfer Transactions page opens with a To Do tab and a Completed tab. The To Do tab shows all open batches. The Completed tab shows batches completed from the Mobile Inventory application.
- Tap the Add New Batch button or an existing batch. If you add a new batch, proceed to the next step. If you select an existing batch, skip to step 5.
- Enter the following on the New Batch page:
- Batch Name - Description for the batch.
- Choose Date - Date for the inventory transaction.
- Space - Select the space if all items in the batch are for the same space.
- Click Next. The Batch Detail page opens.
- Skip to step 6.
- Tap Add New Items. The Batch Detail page opens.
- Select the following:
- Event/Job - Event/Job for the inventory transaction.
- Department - Department for the inventory transaction.
- Transfer From - Defaults to the space selected for the batch.
- Transfer To - Space to move the item to.
- Click Save. The Scan Items page opens.
- Scan or manually enter the barcode(s) or internal item code into the field.
- Tap the plus sign.
- Enter the quantity for the item.
- Repeat steps 8-10 to continue adding items as needed to the batch.
- Tap Save when complete. You return to the Batch page.
- Review each item in the batch.
- Select to:
- Cancel - Return to the Transfer Transactions page. Select this if you are not ready to post the batch.
- Save and Complete - Save the batch and post it in the software. Select this when the batch is finalized.
Receive
To create a receipt transaction:
- Tap Transactions from the Main Menu of mobile inventory. The Inventory Transactions page opens.
- Tap Receive. The Receive Transactions page opens with a To Do tab and a Completed tab. The To Do tab shows all open batches. The Completed tab shows batches completed from the Mobile Inventory application.
- Tap the Add New Batch button or an existing batch. If you add a new batch, proceed to the next step. If you select an existing batch, skip to step 5.
- Enter the following on the New Batch page:
- Batch Name - Description for the batch.
- Choose Date - Date for the inventory transaction.
- Space - Select the space if all items in the batch are for the same space.
- Click Next. The Batch Detail page opens.
- Skip to step 6.
- Tap Add New Items. The Batch Detail page opens.
- Select the following:
- Event/Job - Event/Job for the inventory transaction.
- Department - Department for the inventory transaction.
- Space - Defaults to the space selected for the batch.
- Supplier - Supplier for the inventory transaction.
- Click Save. The Scan Items page opens.
- Scan or manually enter the barcode(s) or internal item code into the field.
- Tap the plus sign.
- Enter the quantity for the item.
- Repeat steps 8-10 to continue adding items as needed to the batch.
- Tap Save when complete. You return to the Batch page.
- Review each item in the batch.
- Select to:
- Cancel - Return to the Receive Transactions page. Select this if you are not ready to post the batch.
- Save and Complete - Save the batch and post it in the software. Select this when the batch is finalized.
Return
To create a return transaction:
- Tap Transactions from the Main Menu of mobile inventory. The Inventory Transactions page opens.
- Tap Return. The Return Transactions page opens with a To Do tab and a Completed tab. The To Do tab shows all open batches. The Completed tab shows batches completed from the Mobile Inventory application.
- Tap the Add New Batch button or an existing batch. If you add a new batch, proceed to the next step. If you select an existing batch, skip to step 5.
- Enter the following on the New Batch page:
- Batch Name - Description for the batch.
- Choose Date - Date for the inventory transaction.
- Space - Select the space if all items in the batch are for the same space.
- Click Next. The Batch Detail page opens.
- Skip to step 6.
- Tap Add New Items. The Batch Detail page opens.
- Select the following:
- Event/Job - Event/Job for the inventory transaction.
- Department - Department for the inventory transaction.
- Space - Defaults to the space selected for the batch.
- Supplier - Supplier for the inventory transaction.
- Click Save. The Scan Items page opens.
- Scan or manually enter the barcode(s) or internal item code into the field.
- Tap the plus sign.
- Enter the quantity for the item.
- Repeat steps 8-10 to continue adding items as needed to the batch.
- Tap Save when complete. You return to the Batch page.
- Review each item in the batch.
- Select to:
- Cancel - Return to the Return Transactions page. Select this if you are not ready to post the batch.
- Save and Complete - Save the batch and post it in the software. Select this when the batch is finalized.
Adjust
To create an adjustment transaction:
- Tap Transactions from the Main Menu of mobile inventory. The Inventory Transactions page opens.
- Tap Adjust. The Adjust Transactions page opens with a To Do tab and a Completed tab. The To Do tab shows all open batches. The Completed tab shows batches completed from the Mobile Inventory application.
- Tap the Add New Batch button or an existing batch. If you add a new batch, proceed to the next step. If you select an existing batch, skip to step 5.
- Enter the following on the New Batch page:
- Batch Name - Description for the batch.
- Choose Date - Date for the inventory transaction.
- Space - Select the space if all items in the batch are for the same space.
- Click Next. The Batch Detail page opens.
- Skip to step 6.
- Tap Add New Items. The Batch Detail page opens.
- Select the following:
- Event/Job - Event/Job for the inventory transaction.
- Department - Department for the inventory transaction.
- Space - Defaults to the space selected for the batch.
- Click Save. The Scan Items page opens.
- Scan or manually enter the barcode(s) or internal item code into the field.
- Tap the plus sign.
- Enter the quantity for the item.
- Repeat steps 8-10 to continue adding items as needed to the batch.
- Tap Save when complete. You return to the Batch page.
- Review each item in the batch.
- Select to:
- Cancel - Return to the Adjust Transactions page. Select this if you are not ready to post the batch.
- Save and Complete - Save the batch and post it in the software. Select this when the batch is finalized.
Check In
To create a Check In transaction:
- Tap Transactions from the Main Menu of mobile inventory. The Inventory Transactions page opens.
- Tap Check In. The Check In Transactions page opens with a To Do tab and a Completed tab. The To Do tab shows all checked out items. The Completed tab shows items checked in from the Mobile Inventory application.
- Tap the item to check in. The Details screen opens.
- Enter the check in date from the Choose Date field.
- Click Save. You return to the Check In Transactions page. The item no longer shows on the To Do tab and is available on the Completed tab.
Check Out
To create a Check Out transaction:
- Tap Transactions from the Main Menu of mobile inventory. The Inventory Transactions page opens.
- Tap Check Out. The Check Out Transactions page opens with a To Do tab and a Completed tab. The To Do tab shows all open batches. The Completed tab shows batches completed from the Mobile Inventory application.
- Tap the Add New Batch button or an existing batch. If you add a new batch, proceed to the next step. If you select an existing batch, skip to step 5.
- Enter the following on the New Batch page:
- Batch Name - Description for the batch.
- Choose Date - Date for the inventory transaction.
- Space - Select the space if all items in the batch are for the same space.
- Click Next. The Batch Detail page opens.
- Skip to step 6.
- Tap Add New Items. The Batch Detail page opens.
- Select the following:
- Event/Job - Event/Job for the inventory transaction.
- Department - Department for the inventory transaction.
- Space - Defaults to the space selected for the batch.
- Click Save. The Scan Items page opens.
- Scan or manually enter the barcode(s) or internal item code into the field.
- Tap the plus sign.
- Enter the quantity for the item.
- Repeat steps 8-10 to continue adding items as needed to the batch.
- Tap Save when complete. You return to the Batch page.
- Review each item in the batch.
- Select to:
- Cancel - Return to the Check Out Transactions page. Select this if you are not ready to post the batch.
- Save and Complete - Save the batch and post it in the software. Select this when the batch is finalized.
PO Receipt
You can receive purchase order items from the Mobile Inventory application. To receive purchase order items:
- Tap PO Receive from the Main Menu of mobile inventory. The Purchase Orders page opens.
- Tap the purchase order that contains the items to receive from the To Do tab. The Purchase Order page opens.
- Tap the View Items link in the Receive Items box. The Purchase Order Items screen opens.
- To receive:
- All items, tap the Move all to completed radio button.
- A single item for the ordered quantity, tap the radio button for the item.
- A single item for a quantity different than the ordered quantity:
- Tap the Edit button to the right of the item. The Item Details screen opens.
- Enter the units to receive into the Entry Units field.
- Tap Save. You return to the Purchase Order Items screen.
- After you receive all necessary items, click Save. All received items, whether in full or partial, show in the Completed tab.
PO Receipt Security
Receiving purchase order items is controlled by the Allow Access to Purchasing/Vouchers by Department access privilege. Any roles/users assigned to the privilege can receive purchase order items based on the department assigned to the purchase order and the department(s) assigned to the role/user receiving the purchase order item. an event up to the status limit configured for the role/user. If no roles/users are assigned to the privilege, it is considered inactive, and all roles/users have access to receive all departments' purchase order items. If a role/user is assigned (activating the privilege), all unassigned roles/users cannot receive any departments' purchase order items.
