Space Specific Rates Tab
If you want to charge for spaces or show pricing for spaces, you must configure either the Space Specific Rates tab or the Criteria Based Rates tab. You use the Space Specific Rates tab to specify the room rental rate type (must have a Daily or Hourly unit of time) for each available space in the online space booking configuration. You can only assign a space to one rate type.
If you have both the Space Specific Rates tab and Criteria Based Rates tab configured, the software first looks at the Space Specific Rates tab to assign a price to a space. If a space specific rate is not found, then the software looks at the Criteria Based Rates tab.
To add space specific rate types:
- Click the Add button. The Add Space Specific Rate screen opens.
- Enter the necessary information:
- Space - Space for the rate type.
- Rate Type - Rate type to use for the space. Rate types are configured in the Resources screen as class 1 resource types. You must also have the rate type assigned to the price list selected in the Default Event Price List field in the Event Defaults section of the Settings tab.
- Rate per Attendee - If checked, the booking units are set to the value in the Attendee field. This allows you to charge a rate per attendee (number of attendees multiplied by the space rate). Available with hourly and daily units of time. For example, a space has a rate of $100. For a two day event with 10 attendees, the total charge is $2000 (2 days at $100 per day = $200. Multiplied by 10 attendees = $2000).
- Click OK.
To remove a space specific rate type:
- Select the space specific rate type to remove.
- Right-click and select Mark for Delete.
- Click the Save button.
Criteria Based Rates Tab
If you want to charge for spaces or show pricing for spaces, you must configure either the Criteria Based Rates tab or the Space Specific Rates tab. You use the Criteria Based Rates tab to specify the room rental rate type (must have a Daily or Hourly unit of time) for each space based on conditional criteria such as day of the week, booking start or end time or the number of hours booked.
If you have both the Criteria Based Rates tab and the Space Specific Rates tab configured, the software first looks at the Space Specific Rates tab to assign a price to a space. If a space specific rate is not found, then the software looks at the Criteria Based Rates tab.
When using Criteria Based Rates, pricing is based on the first set of criteria the space reservation meets based on the Sequence set for the criteria. If a space reservation crosses over the time threshold from one criteria to another, a separate rate is not applied. For example, you cannot have a regular time rate and additional time rate applied to a single space reservation in online space booking.
If a space reservation does not meet any criteria, the space is listed as no charge. Creating a general rate with broad criteria with the highest sequence value to avoid this situation is recommended.
If a space does not have the rate type configured on the price list or resource type for the criteria matching the space reservation, the space is listed as no charge. The software does not proceed to the next criteria until a rate type is found that is configured for that space.
Within a set of criteria, the order the software looks for a matching rate type is based on the order of fields on the screen:
- Days of the week
- Booking start and end times
- Number of booked hours
- Booked hours range
To add a criteria based rate:
- Click the Add button. The Add Criteria Based Rate screen opens.
- Enter the necessary information:
- Description - Name for the rate.
- Rate Type - Rate type to use for the criteria. Rate types are configured in the Resources screen as class 1 resource types. You must also have the rate type assigned to the price list selected in the Default Event Price List field in the Event Defaults section of the Settings tab. The rate type does act as part of the rate criteria. The software checks to see if a space has the selected Rate Type configured. If so, the software uses the criteria to assign pricing. If the space does not have the rate type assigned, it proceeds to the next criteria.
- Rate per Attendee - If checked, the booking units are set to the value in the Attendee field. This allows you to charge a rate per attendee. Available with hourly and per day/each units of time.
- Sequence - Order for the software to determine which criteria to use for the space pricing. The software starts with the lowest sequence value.
- Sunday/Monday/Tuesday/Wednesday/Thursday/Friday/Saturday - If checked, the rate applies to space bookings for that day. Must check at least one day.
- Booking Start Time Before or Equal To - Space reservations are assigned the rate type if the space reservation has a start time equal to or before the entered time. If set to 12:00 AM and the Booking End Time After or Equal To field is also set to 12:00 AM, these fields are not used as part of the criteria and are ignored.
- Booking End Time After or Equal To - Space reservations are assigned the rate type if the space reservation has an end time equal to or after the entered time. If set to 12:00 AM and the Booking Start Time Before or Equal To field is also set to 12:00 AM, these fields are not used as part of the criteria and are ignored.
- Number of Booked Hours is - Determines if the rate type is used if the number of booked hours is Greater Than, Greater Than or Equal To, Less Than or Less Than or Equal to the value entered into the Booked Hours field.
- Booked Hours - Number of hours for the booking to determine if the criteria is used based on the Number of Booked Hours is selection.
- Range of Booked Hours is Between (Start) - Beginning range for the number of hours for a booking to meet the criteria. For example, bookings that are between 4 and 8 hours long receive a specific rate type. You would enter 4 into this field.
- Range of Booked Hours is Between (End) - Ending range for the number of hours for a booking to meet the criteria. For example, bookings that are between 4 and 8 hours long receive a specific rate type. You would enter 8 into this field.
- Click OK.
Booking Roles Tab
The Booking Roles tab controls which Booking Roles are assigned to the Online Space Booking configuration. When a Booking Role is assigned on this tab, the spaces seen by public-facing users allocated to that Booking Role will be restricted, based on the Space Classes set on the Booking Role. Spaces Classes must also be assigned to the applicable spaces included on the Spaces tab of the OSB configuration.
Booking Roles will also restrict the OSB portals shown in the Account Portal for the public-facing users assigned to those Booking Roles. If an OSB configuration has no Booking Roles assigned, it will be visible in the Account Portal for all public-facing users.
Booking Roles will not restrict users from logging into an OSB portal if they have a direct URL link. For example, if you use an OSB URL link on your website or intranet, Booking Roles will have no impact on who can access or log in to the OSB portal via this link.
My Events Tab
The My Events tab controls if the My Events page is available for the online space booking configuration and which events display. - Booking was created in back-office.
- Booking Cancellation Days Out - Number of days before the event start date a public-facing user can cancel a space booking. If within the number of days out from event start date, the public-facing user cannot cancel a space booking. For example, enter a 7 into this field to prevent public-facing users from cancelling space bookings within 7 days of the event start date.
- Booking Cancellation Up To Status - Bookings with statuses below the selected status are available for cancellation. Public-facing users cannot cancel bookings at or above the selected status.
